Executive Assistant (Remote – Central America Preferred)

About the Role
AFC Mortgage Group is seeking a highly organized, proactive Executive Assistant to support a top-producing mortgage executive. This is a revenue-protection role, not a traditional admin position.
You will be responsible for speed to lead, inbox management, scheduling, follow-up, and ensuring nothing falls through the cracks. This role requires urgency, ownership, and excellent communication skills.
We are specifically seeking candidates based in Central America who can work U.S. business hours and communicate confidently with U.S.-based clients and partners.
Primary Objective
Protect revenue and the executive’s time by owning lead response, communication flow, scheduling, and follow-up—ensuring every lead, client, and task receives prompt attention.
Key ResponsibilitiesSpeed to Lead & Lead Onboarding
- Respond immediately to inbound leads via phone, text, and email during U.S. business hours
- Schedule consultations and ensure proper lead onboarding
- Track follow-up to ensure no lead is missed
- Maintain accurate CRM records and workflows
Inbox & Communication Management
- Monitor and triage executive email inbox
- Respond to routine inquiries and escalate urgent matters
- Ensure all communications receive timely follow-up
- Coordinate with internal team members to keep workflows moving
Scheduling & Time Management
- Manage calendar, appointments, and confirmations
- Prepare daily and weekly call lists
- Prioritize tasks to protect high-value executive time
Follow-Up & Accountability
- Track outstanding items, tasks, and commitments
- Ensure calls, emails, and follow-ups are completed
- Maintain organized systems so nothing slips through the cracks
Administrative & Personal Support
- Book business and personal travel
- Coordinate gifting execution
- Handle administrative tasks that reduce friction for leadership
What This Role Is NOT
- Not a marketing or social media role
- Not a passive admin role
- Not a role for someone who waits for instructions
This role requires initiative, urgency, and ownership.
Qualifications & Requirements
- 2+ years experience as an Executive Assistant, Operations Coordinator, or similar role
- Excellent written and verbal English communication skills
- Strong phone presence and confidence speaking with U.S. clients
- Ability to work full-time during U.S. business hours
- Highly organized, detail-oriented, and proactive
- Comfortable with CRM systems, calendars, email, and task management tools
- Mortgage, real estate, or financial services experience is a plus (not required)
