We’re looking for an Executive Assistant who brings exceptional organization, communication, and judgment to support our Chief Executive Officer, GP and Founder in executing high-impact initiatives.
The Executive Administrative Assistant will serve as the right hand to the Chief Executive Officer, GP (CEO,GP), managing day-to-day priorities, communication flow, and strategic projects. This role requires strong initiative, discretion, and an understanding of healthcare operations, business strategy, and cross-functional collaboration.
You will handle a mix of administrative, operational, and project-related responsibilities—ensuring the CEO,GP’s time and focus are spent on what matters most to the company’s strategic growth.
Key Responsibilities
- Manage CEO,GP’s calendar, schedule, meeting logistics, and deliverables proactively with precision across time zones.
- Anticipate needs and proactively organize materials, talking points, and briefs.
- Draft and manage internal/external correspondence, presentations, and reports.
- Maintain confidentiality in handling sensitive and proprietary information.
- Coordinate travel arrangements, expense reports, and follow-up action tracking
- Serve as a liaison between the CEO, GP and internal teams, ensuring clarity, tone alignment, and responsiveness.
- Support preparation for Board updates and leadership offsites as needed.
- Draft summaries, briefings, and follow-up communications after key meetings supporting and coordinating follow ups as needed
- Support sales and marketing projects so that they move forward efficiently, with timelines met and updates summarized.
- Serve as a trusted, reliable extension of leadership—organized, diplomatic, and forward-thinking.
Qualifications
- 5+ years’ experience supporting a C-suite or senior executive (healthcare, operations, or startup environment preferred)
- Experience in ophthalmology, medical device, surgical operations, or healthcare management required
- Strong business writing, communication, and interpersonal skills
- High proficiency in Microsoft 365, Teams, and project management tools (e.g., HubSpot, etc)
- Proven ability to manage multiple projects with competing deadlines
- Demonstrated discretion, emotional intelligence, and problem-solving ability
- Experience coordinating across clinical, administrative, and business teams
- Understanding of terminology related to surgical centers, accreditation, and RCM
- Ability to interpret metrics and reports to support data-informed decision-making
- Experience protecting CEO,GP’s time and need by ensuring he has bandwidth to focus on growth, partnerships, and innovation initiatives.
Job Type: Full-time
Base Pay: From $75,000.00 per year
