Job Summary
We are seeking a detail-oriented and proactive Bookkeeper / Administrative Assistant to join our dynamic team. Responsibilities
- Maintain accurate financial records using QuickBooks, including entering journal entries and reconciling accounts.
- Perform bank reconciliations and general ledger accounting to ensure all transactions are properly recorded and balanced.
- Manage accounts payable and accounts receivable processes, including invoice processing, payment scheduling, and collections.
- Conduct balance sheet reconciliation and account analysis to verify the integrity of financial data.
- Prepare detailed financial reports, including statements and summaries aligned with GAAP (Generally Accepted Accounting Principles).
- Assist with payroll processing, tax preparation, and governmental accounting requirements as needed.
- Support budgeting activities by tracking expenses and assisting in financial planning efforts.
- Handle administrative duties such as data entry (including 10 key typing), document filing, correspondence management, and scheduling appointments.
- Collaborate with team members on technical accounting tasks involving double entry bookkeeping, journal entries, and general ledger reconciliation.
- Ensure compliance with financial policies by maintaining meticulous records of transactions and supporting documentation.
Qualifications
- Proven experience with accounting software such as QuickBooks, Xero, Sage, or similar platforms; familiarity with Quicken is a plus.
- Strong understanding of corporate accounting principles, non-profit accounting practices, governmental accounting standards, and GAAP compliance.
- Demonstrated ability in bank reconciliation, account reconciliation, balance sheet reconciliation, and general ledger accounting.
- Knowledge of financial concepts including debits & credits, journal entries, account analysis, and double entry bookkeeping.
- Experience with accounts payable/receivable management and payroll processing.
- Ability to perform detailed account analysis and produce clear financial reports.
- Excellent organizational skills with the ability to handle multiple tasks efficiently in a fast-paced environment.
- Strong attention to detail coupled with effective communication skills for collaboration across teams.
