About Absolute Care
Absolute Care is a community-based mental health practice serving a primarily Medicaid
population. We provide outpatient mental health and supportive services and place a strong
emphasis on ethical care, compliance, and accurate documentation.
We are seeking a Virtual Front Desk & Administrative Coordinator with prior experience
working in a mental health clinic, ideally one that serves Medicaid clients. This role is best
suited for someone who is highly organized, detail-oriented, and comfortable working
independently in a remote environment.

This role is not ideal for entry-level candidates or those who require daily oversight. We are
looking for someone who can manage their responsibilities independently and communicate
clearly in a virtual setting.
Key ResponsibilitiesVirtual Front Desk & Communication
●Answer and route incoming calls appropriately
●Respond to emails and general inquiries
●Communicate professionally with clients, providers, and internal staff
Scheduling & Coordination
●Schedule client appointments and manage provider calendars
●Coordinate scheduling changes and follow-ups
●Help maintain efficient and accurate schedules
Administrative & Records Management
●Maintain accurate and up-to-date client records in our Electronic Health Record (EHR)
system
●Review charts for completeness and accuracy
●Identify missing documentation and flag issues proactively
●Assist with routine file audits and quality checks
Authorizations & Medicaid Support
●Verify and track Medicaid and insurance authorizations
●Ensure services are aligned with active authorizations
●Flag expiring or missing authorizations before services are impacted
●Maintain authorization tracking logs and documentation
Billing & Compliance Support
●Support billing-related administrative tasks and documentation
●Coordinate with leadership and external billing partners as needed
●Assist the General Manager and Compliance Officer with:
Internal audits
Documentation reviews
Compliance preparation throughout the year
Required Experience
●Prior administrative experience in a mental health, behavioral health, or
community-based clinic
●Direct experience working with Medicaid clients and insurance authorizations
●Strong familiarity with healthcare documentation standards
●Comfort working with protected health information (PHI)Preferred Qualifications
●Familiarity with ICANotes or similar EHR systems
●Experience supporting audits, compliance reviews, or billing workflows
●Bilingual (Spanish/English) is a plus, but not required
●Strong written and verbal communication skills
