We are a growing home services company and we are seeking a detail-oriented and highly organized Executive Assistant to support a busy executive and help keep operations running smoothly across multiple service divisions.
Responsibilities:
- Manage executive calendars, inboxes, and communications to ensure priorities are met.
- Prepare agendas, reports, presentations, and follow-up summaries for meetings.
- Coordinate virtual meetings, travel arrangements, and cross-functional communications.
- Track projects, deadlines, action items, and operational priorities to ensure timely completion.
- Enhance internal processes, documentation, and team workflows for improved efficiency.
- Support strategic planning and executive alignment.
- Post job listings, screen applicants, and schedule interviews on behalf of the executive.
- Manage onboarding logistics for new hires including documentation, system access, and orientation scheduling.
- Maintain organized employee records, contracts, and HR files.
- Track PTO, attendance, and other employee data in coordination with management.
- Liaise between employees and leadership for HR-related communications and follow-ups.
- Support payroll preparation by collecting timesheets, tracking hours, and flagging discrepancies.
General Admin Skills:
- Strong written and verbal communication

Preferred Skills & Tools:
- Google Workspace proficiency (Gmail, Calendar, Drive, Docs, Sheets)
- Calendar and inbox management tools
- Project management tools: ClickUp, Trello, or similar
- CRM or operations tool familiarity
- Basic spreadsheet, reporting, and presentation skills
- Digital file organization and documentation tools
Qualifications:
- 5+ years of proven experience as an Executive Assistant or in a similar role
- Conversational English accepted; fluency is a plus
- Stable internet connection, laptop, and headset
- High level of motivation and persistence
