Operations Manager / Director of Operations — Smaug’s Vault LLCAbout the Role
Smaug’s Vault LLC is a fast-moving U.S.-based holding company operating across multiple brands in wholesale, e-commerce, marketing services, and related industries.
We are looking for a highly capable Operations Manager / Director of Operations to run day-to-day business operations directly under the owner.
This is not an assistant role.
This is a hands-on leadership position for someone who can take ownership, manage people, solve problems independently, and keep operations moving without constant oversight.
The right person will become the operational backbone of the company.
Core Responsibilities
- Oversee daily business operations across multiple brands
- Manage and hold remote team members accountable across different time zones
- Monitor daily cash activity, payment tracking, reconciliations, and operational reporting
- Execute and track ACH transfers, wires, invoices, and customer payments under owner direction
- Work inside Zoho Books, QuickBooks, spreadsheets, and operational systems
- Handle customer escalations and resolve issues directly
- Coordinate vendor relationships and onboarding
- Build and improve systems, SOPs, workflows, and operational structure
- Provide daily owner updates:
- cash position
- priorities
- completed tasks
- unresolved issues
- Support operational decision-making and help keep the business organized at a high level

Required Experience
- 5+ years in operations management, business operations, executive operations, or similar leadership roles
- Experience managing remote teams
- Experience with QuickBooks, Zoho Books, or similar bookkeeping/accounting systems
- Strong understanding of operational workflows, reporting, and business coordination
- Excellent written and verbal English
- Strong spreadsheet and systems skills
- Experience supporting U.S.-based businesses preferred
Strong Bonus Experience
- E-commerce, wholesale, logistics, or marketing operations
- SOP/process building
- Automation, AI tools, or systems optimization
- Finance operations, invoicing, reconciliation, or vendor management
- Startup or founder-led business experience
Work Details
- Remote position
- Must overlap with U.S. Eastern business hours
- 30–40 hours per week
- Compensation starts around $10–15 USD/hour depending on experience
- Long-term growth opportunity with increasing responsibility and compensation

Pay: $13,000.00 - $15,480.00 per month
