About the Role
Our client is a growing boutique estate planning and elder law firm serving New York families. As Sales Assistant, you'll be the first voice prospective clients hear — playing a central role in client experience, lead conversion, and seamless coordination with the legal team.
This is a role for an A-player who communicates clearly and kindly under pressure, prevents problems before they escalate, and is comfortable with technology, empathy, and ethics.
Responsibilities
- Respond to incoming phone, email, and web inquiries from prospective clients.
- Conduct intake calls, gather relevant information, and assess whether a matter is a fit for the firm.
- Schedule consultations and communicate the intake process and next steps clearly.
- Follow up consistently with leads to improve conversion and client experience.
- Collaborate with the legal team to ensure smooth handoffs and continuity of care.
- Maintain accurate client notes, intake records, and CRM data.
- Support process improvement and contribute to stronger backend systems as the firm grows.
Requirements
Must-have
- Fluent English — strong written and verbal communication, sound judgment, and attention to detail.
- 2+ years of experience in legal intake, customer service, hospitality, sales, or other client-facing work.
- Comfortable working with technology, CRM tools, and structured workflows.
Nice to have
- Second language strongly preferred: Russian, Hebrew, or Spanish.
- Experience in a law firm, estate planning, elder law, or professional services environment.
- Familiarity with Lawmatics, MyCase, or similar CRM/case management platforms.
- Familiarity with Claude, GenAI, or AI-assisted workflow tools — a major plus.
