What is the opportunity?:
As an Executive Assistant at Omnissa, you will play a critical role in enabling our executive leaders to operate at their highest level. You’ll manage complex, fast‑moving priorities across global teams, drive operational efficiency, and ensure seamless execution of schedules, travel, communications, and strategic initiatives. This role is central to keeping the organization aligned, prepared, and moving forward—making you a trusted partner and an essential extension of the executives you support.

- Own and manage highly complex, constantly shifting calendars across multiple senior executives.
- Strategically prioritize meetings based on business impact, revenue cycles, forecasting timelines, and global time zones.
- Proactively resolve scheduling conflicts, anticipate bottlenecks, and protect executive focus time.
- Coordinate cross-functional meetings across Revenue, Technical Services, Finance, and Revenue Operations teams.
- Manage recurring executive rhythms (forecast calls, QBRs, leadership meetings).
- Align calendars with strategic initiatives, fiscal deadlines, and operational reporting cycles.
- Act as gatekeeper while maintaining strong executive presence and diplomacy.
International & Domestic Travel Management (Heavy Global Coordination)
- Plan and execute complex domestic and international travel across multiple regions and time zones.
- Build detailed, multi-country itineraries including flights, ground transportation, accommodations, visas (as applicable), and meeting logistics.
- Anticipate travel disruptions and proactively create contingency plans.
- Coordinate travel tied to revenue meetings, technical site visits, investor/board meetings, and global leadership events.
- Ensure executives are fully prepared with briefing materials, contacts, local time coordination, and cultural considerations.
- Manage expense reporting and reconciliation in alignment with finance policies.
Strategic & Operational Support
- Track and follow up on strategic initiatives and executive action items.
- Support quarterly revenue planning, forecasting cycles, pipeline reviews, and financial reporting preparation.
- Assist in creation of executive-level presentations, dashboards, and board materials.
- Facilitate leadership offsites and cross-functional strategy sessions.
- Coordinate confidential discussions, operational documentation, and executive communications.
Confidential & Financial Support
- Handle sensitive financial, personnel, and strategic information with the highest level of confidentiality.
- Support budgeting coordination, expense oversight, and reporting needs.
Technology & Systems Proficiency
- Microsoft Outlook – Complex calendar management, meeting coordination across global time zones, and executive communications.
- Concur – International and domestic travel booking, expense reporting, and reconciliation.
- Slack – Executive-level communication and cross-functional coordination.
- Salesforce – Supporting revenue operations processes, reporting coordination, and pipeline visibility.
- Oracle – Financial systems navigation, reporting support, and expense/budget coordination.
What You’ll Bring
- 8-10+ years supporting senior or C‑level executives in fast‑paced environments.
- Expertise in complex, multi‑time‑zone calendar management and prioritization.
- Strength in coordinating cross‑functional meetings and executive operations.
- Proven ability to manage global travel, multi‑stop itineraries, and contingency plans.
- Experience supporting forecasting, planning cycles, and executive presentations.
- High level of professionalism handling confidential and financial information.
- Proficiency with Outlook, Concur, Slack, Salesforce, and Oracle.
- Strong communication skills and executive presence.
- A proactive, highly organized, solution‑oriented approach.
Location: Preference for Central US time zone; other time zones may be considered
Education: Bachelor’s degree preferred, or equivalent combination of education and relevant professional experience.
The typical base salary for this role is between USD $97,000 – $162,375 per year and it may be eligible for participation in a corporate bonus program. Actual compensation offer may vary from posted hiring range based upon geographic location, work experience, education, skill level, or other relevant factors.
