Summary:
The Administrative Assistant I – Fleet supports the Fleet & Equipment team and Operations Manager - Fleet & Logistics - Solar.
Requirements:
- Reviews equipment repair logs and quotes.
- Works closely with site Logistics Administrators to ensure all Purchase Order requests are submitted.
- Ensures accuracy of forms and ensures inspections are requested as needed.
- Obtains and documents compliance for equipment.
- Interprets, organizes, executes, and coordinates projects as assigned by the supervisor.
- Manages Company’s DOT documentation systems related to equipment, including updating and saving information to Company’s intranet and accounting systems.
- Creates and updates extensive spreadsheets and documents for transferring titles and tracking process statuses.
- Conducts weekly audits for fleet repair invoices and quotes and escalates issues to Operations Manager.
- Interacts internally and with Customers/Vendors to resolve title issues.
- Attends work regularly and punctually, as scheduled or expected.
- Complies with Employee Handbook, Code of Conduct, and Company Policies & Procedures.
- Presents, supports, and leads-by-example with a safety and quality-oriented attitude.
- Stays current with professional and industry best practices.
- Follows any other job-related duties/functions requested by the supervisor or onsite supervisors.
- Responds to requests via emails and multi-line telephone and issue Purchase Orders as needed.
Safety:
- Follows safety and security procedures and determines appropriate action. Reports potentially unsafe conditions and uses materials and equipment properly.
Qualifications:
- High school diploma or GED/Required.
- Associate’s Degree, preferred.
- 2+ years of office or administrative work experience, required
- Valid Driver’s License, required.
- Strong interpersonal, customer service, and communication skills to interface with the Clients, Employees, Vendors, and all levels of RES Management.
- Ability to work proactively, prioritize, multi-task, and work independently.
- Possesses a valid driver’s license and be eligible for company vehicle insurance coverage to travel to the local tax office occasionally, the Department of Motor Vehicle office, or delivery locations for mail-in Company vehicles.
- Demonstrates professional assertiveness with the ability to recognize issues requiring action.
- MS Office: Intermediate skills in MS Office (Word, Excel, PowerPoint, Project) and MS Outlook; ability to manage multiple calendars in Outlook. Excel skills to include: Data sorting and validation, formatting, charts, graphs, and bars, pivot tables, VLOOKUP, COUNTIF, SUMIF, filtering information to provide quality data, creating macros to automate common tasks, managing large amounts of data.
- Ability to handle details, access to information, and conversations that may be highly sensitive in strict confidence and a professional manner.
- Ability to perform duties with close attention to detail.
- Ability to handle tight deadlines and last-minute changes in a fast-paced environment with multiple stakeholders.
- Ability to solve practical problems and deal with variables in situations with limited standardization.
- Ability to adapt to a customer service focus, anticipate needs, and solve problems independently.
- Excellent communication skills with a customer service focus and ability to communicate effectively with all levels.
- Possesses strong interpersonal skills.
- Ability to act with limited oversight on day-to-day responsibilities, balance multiple priorities, and appropriately seek information and solve problems within the scope of work; comfortable taking ownership of personal stretch assignments outside of daily duties.
- Functional competencies include attention to detail, communication, customer focus, teamwork, and prioritization.
Anticipated base salary range: $20.00 - $25.00
The final agreed upon compensation is based on individual education, qualifications, experience, and work location. This position is bonus eligible.
