Fractional Executive Assistant (Right-Hand to Founder)

The Role
I am seeking a highly capable Executive Assistant with prior experience supporting senior professionals in client-facing environments. This role requires precision, discretion, strong judgment, and the ability to operate independently in a fast-paced professional services business.
I run a boutique consulting and coaching business that works exclusively with lawyers and law firm leaders. The Executive Assistant will interact directly with sophisticated clients and must maintain a consistently high standard of professionalism, organization, and written polish.
Meticulous attention to detail is essential.
Core ResponsibilitiesCalendar Management
- Proactively manage scheduling and protect time appropriately
- Anticipate conflicts and suggest solutions
- Coordinate across multiple stakeholders with professionalism and discretion
- Communicate directly with clients regarding scheduling
Email & Written Communications
- Draft and proofread client-facing emails
- Ensure communications are clear, concise, and error-free
- Maintain tone appropriate for senior law firm audiences
- Handle routine operational communication without constant oversight
Contracts & Client Documentation
- Prepare client contracts using established templates
- Customize contracts accurately based on scope and pricing
- Ensure all details are correct before documents are sent externally
- Distribute contracts to clients and track execution
- Maintain organized and retrievable records of signed agreements
Precision and comfort handling formal client documentation are required.
PowerPoint (Required)
- Create, edit, and format PowerPoint presentations
- Ensure slides are clean, consistent, and professionally formatted
- Catch formatting errors, inconsistencies, and typos before materials are shared externally
- Over time, draft presentation decks independently based on direction and training
Strong working knowledge of Microsoft PowerPoint is required.
Travel & Logistics
- Book flights, hotels, and ground transportation
- Monitor itineraries and adjust as needed
- Manage logistics for in-person and virtual events
Project & Task Follow-Through
- Track deadlines and open items
- Follow up independently
- Keep operational details moving without constant direction
- Maintain accurate records within Coaches Console and other systems
Tools & Systems
- Slack
- SurveyMonkey (creating and managing surveys)
- Outlook for Mac (calendar and email coordination; assistant may work via Gmail sync)
- Microsoft PowerPoint (advanced proficiency required; candidate must have reliable access to Microsoft 365)
- Coaches Console (training provided)
- Basic event coordination tools

Qualifications
- College-educated, U.S.-based professional
- Located in the Central or Eastern time zone
- Must have exceptional writing and proofreading skills
- 5–7+ years of experience supporting senior executives, founders, or partners
- Experience supporting senior professionals in client-facing professional services environments (law firms, consulting, finance, or similar) strongly preferred
- Strong PowerPoint proficiency with a meticulous eye for detail
- Comfortable working directly with clients
- Highly organized, reliable, and discreet

Within 60–90 days:
- Scheduling runs smoothly with minimal intervention
- Client-facing communications are polished and trusted
- Contracts are accurate and sent promptly without errors
- Presentations are professionally formatted and client-ready
- Operational details are handled efficiently and proactively
- The Founder’s need to review routine materials decreases meaningfully
