Job Overview
We are seeking a highly organized and proactive Executive Assistant to support our CEO in a fast-paced environment. The ideal candidate will possess exceptional administrative skills and the ability to manage multiple tasks efficiently. This role requires a strong background in office management and executive administrative support, along with excellent communication skills and attention to detail.
Responsibilities
- Provide comprehensive executive administrative support to the CEO, including calendar management and scheduling appointments.
- Coordinate and plan events, meetings, and travel arrangements.
- Manage correspondence and communications on behalf of the CEO, ensuring timely responses.
- Maintain organized filing systems and manage data entry tasks accurately.
- Assist with bookkeeping duties, including managing invoices through QuickBooks.
- Prepare reports, presentations, and other documents as needed, ensuring high-quality proofreading and transcription.
- Handle front desk responsibilities, including phone etiquette and customer service interactions.
- Utilize Microsoft Office Suite and Google Workspace for various administrative tasks.
- Support project coordination efforts by tracking progress and deadlines.
- Operate multi-line phone systems effectively while managing incoming calls professionally.
Qualifications
- Proven experience as an executive assistant or in similar administrative roles.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace applications.
- Familiarity with QuickBooks for bookkeeping purposes is preferred but not required.
- Excellent typing skills with attention to detail for accurate data entry and documentation.
- Strong clerical experience with a focus on maintaining confidentiality and professionalism.
- Ability to manage multiple projects simultaneously while maintaining a high level of accuracy.
- Experience in event planning and project coordination is a plus.
- Exceptional communication skills, both verbal and written, with a professional demeanor when interacting with clients and colleagues.
