We are looking for more than a traditional EA. We need a Systematizer and Stabilizer—someone who loves creating order out of chaos, helping design the processes that keep us running, and acting as the bridge between high-level vision and on-the-ground execution.
This is a high-impact seat for a calm, highly capable operator who enjoys supporting existing frameworks, ensuring quality, and designing the logistics that allow the executives to focus on growth.

What You’ll Do
The "Translator" & Communication Bridge
- Bridge the Gap: Translate "big picture" ideas into the specific details and summarize detailed research into the bottom-line overviews.
- Information Management: Vet incoming information. Determine what requires immediate visionary attention versus what requires detailed analysis, and route it to the right partner.
- Drafting & Editing: Draft communications with a crisp, professional voice, ensuring "vague" ideas are made concrete before they reach the team.
Systematizing & Operating Rhythm
· Design the Logistics: You will serve as the executive’s strategic leverage—owning the operating rhythm of their calendar, communications, and priority execution. You’ll start with core EA responsibilities and quickly expand into project leadership, cross-functional coordination, and operating system improvement.
- Project Management: Build the "railroad tracks" for projects. When a new idea is generated, you create the timeline, the milestones, and the accountability chart to ensure it actually happens.
- Consistency: Serve as the "consistency guard," ensuring that new innovations don't break existing successful protocols.
Stabilization & Risk Management
- Protect the Routine: While the partners may chase new ideas or deep-dive into research, you ensure routine administrative and operational tasks never drop.
- Risk Mitigation: Serve as the anchor. When the team wants to move fast, you ensure the necessary boxes are checked and the foundation is stable.
Hands-on Logistics & Tech
- Tool & Tech Management: Act as the primary owner for office systems, software tools, and digital file structures. You are the one who ensures the "things" (digital primarily) actually work.
- Quality Control: Perform the final "hands-on" quality check on deliverables and presentations, ensuring they are polished and client-ready.
Day to Day:
- Coordinate meetings end-to-end: agendas, pre-reads, attendee confirmations, notes, and action-item tracking.
- Run travel planning and logistics as needed (itineraries, changes, contingencies).
- Serve as a trusted point of contact for internal leaders, clients, and partners—warm, clear, and appropriately assertive.
- Ensure “no surprises” by proactively surfacing risks, deadlines, and decisions needed.
- Build and maintain a predictable cadence (e.g., daily/weekly syncs, weekly priority review, monthly scorecards, quarterly planning support).
- Track priorities and commitments across stakeholders; keep owners and due dates visible.
- Create lightweight systems: templates, checklists, SOPs, and meeting workflows that scale.
- Coordinate and/or lead projects across teams (ops, client success, compliance, finance, IT), keeping timelines, deliverables, and status updates moving.
- Maintain project dashboards
- Top priorities don’t stall—projects show steady progress with owners, timelines, and accountability.
Ideal Background & Skills
Must-Have
- 6–10+ years supporting senior executives, ideally with experience supporting two executives simultaneously.
- Process Design Experience: A portfolio of systems, SOPs, or workflows you created from scratch (not just systems you maintained).
- Strong Technical Aptitude: You are comfortable using and setting up modern office tech (Zoom, Google Workspace, Microsoft 365, Hubspot, ChatGPT, Project Management tools).
- The "Translator" Skillset: Proven ability to synthesize complex data for one audience and expand on big ideas for another.
- Excellent written communication: clear, concise, and professional.
- High judgment, discretion, and emotional maturity (confidentiality is non-negotiable).
- Proven ability to run complex scheduling and keep multiple work streams moving without constant direction.
