We are seeking a world-class Senior Executive Assistant to support our CEO and executive leadership. This role goes beyond traditional administrative tasks; we’re looking for a strategic partner who can make informed decisions, streamline operations, and optimize executive bandwidth. As a critical member of our leadership team, you will oversee high-priority projects, manage complex schedules, and serve as a liaison between internal teams and external stakeholders to ensure organizational success. We're a fast-growing startup, so your responsibilities may evolve as we scale (and honestly, we think that’s part of the fun!). Flexibility is key, and we’re excited to see how you’ll make this role your own. That said, there are three major areas of responsibility where we see you making the most impact:
- Manage executive calendars, resolve scheduling roadblocks, and prioritize conflicting demands
- Optimize executive time and productivity by maintaining and adhering to documented scheduling preferences, including aligning schedules with business priorities and providing sufficient context / agenda for every meeting (especially external)
- Plan and oversee executive travel arrangements (both domestic and international), create detailed itineraries, and provide remote support throughout travel as needed
- Process and manage executive expense reports and reimbursements to support the monthly financial reconciliation process
- Coordinate external executive meetings (e.g., with investors, customers, sales prospects, press/analysts, high-profile candidates) and events (e.g., speaking engagements, conferences, roundtables) while maintaining the highest level of professionalism and discretion
- Plan and execute both recurring events as part of our standard company operating cadence (e.g., quarterly board meetings, quarterly leadership on-sites, and annual company on-sites) AND ad-hoc events as requested from time to time (e.g., executive dinners, team social activities), managing budget, itinerary, and logistics from end to end
- Lead and drive completion of assigned quarterly key results, including creating and executing a project plan (involving others where needed)
- Manage ad-hoc growth initiatives and special projects, working through others to achieve results as necessary
- Track and follow up on ad-hoc leadership team action items to maintain accountability and ensure timely completion
- Serve as a remote liaison for shared office and corporate services (including property management, catering, janitorial, plants, IT, etc.)
- Partner with Operations, IT, and HR to drive employee lifecycle processes (including onboarding/offboarding, annual performance management)
- Serve as the company ambassador for new team members to guide them through standard internal processes and tools
- Manage agenda, content, meeting notes, and action items/follow-ups for standard organizational cadences (e.g. company all hands, leadership team meetings, staff meetings)
- Maintain internal company wiki/knowledge base to support and enhance team productivity
- Drive team culture-building initiatives, including executing quarterly employee pulse surveys, acting upon employee feedback, and sponsoring ad-hoc morale-boosting / social recognition activities
- Keep our rapidly growing organization informed & connected through ad-hoc organizational communications
- Systems thinking: Ability to understand and navigate the interconnectedness of various parts of the business, including recognizing patterns, identifying dependencies, and strategically analyzing how decisions and actions impact the larger organizational system
- Organization & Time Management: Ability to prioritize inbound communications and task requests, meet tight deadlines, and handle multiple, complex schedules and projects simultaneously
- Attention to detail: Ability to deliver high-quality, zero-defect work; including managing administrative tasks, communication, and project follow-through with precision

- Bachelor’s degree or equivalent experience in a related field
- 7+ years of experience as an Executive Assistant or in a similar role
- Experience in a tech company and/or startup is a plus
