Administrative Assistant (Contract)
Please note that this is a contract role providing services to Microsoft through external staffing partners of Allegis Global Solutions. If you are selected for this role, you will be employed by AGS and will not be an employee of Microsoft.
Summary
This position provides comprehensive administrative support to three leaders within a dynamic public sector organization. The role requires a highly organized professional who can independently manage complex schedules, coordinate logistics, and handle multiple priorities simultaneously in a fully remote environment. This individual will serve as a critical operational partner, ensuring seamless day-to-day operations through calendar management, travel coordination, expense processing, and event support. The position demands exceptional attention to detail, strong communication skills, and the ability to navigate ambiguity while maintaining professionalism when interacting with senior leadership and external stakeholders. Success in this role requires someone who can proactively anticipate needs, exercise sound judgment, and maintain confidentiality while managing sensitive information.
Job Responsibilities
- Manage complex calendars and schedules for three leaders, including coordinating meetings and resolving scheduling conflicts
- Coordinate all travel arrangements, including booking flights, accommodations, and ground transportation
- Process expense reports accurately and in a timely manner
- Arrange meeting logistics, including booking conference rooms and coordinating catering services
- Create and process purchase orders for team supplies and equipment
- Provide event support for town halls, customer visits, and other organizational gatherings
- Serve as a primary point of contact for internal and external stakeholders
- Coordinate cross-functional meetings and ensure appropriate preparation materials are distributed
- Maintain organized systems for tracking administrative tasks and deliverables
- Complete special projects and ad hoc assignments as needed
Requirements
- Minimum 4 years of hands-on experience with Microsoft Office 365 suite
- Minimum 2 to 4 years of administrative support experience
- Proven track record of supporting multiple leaders or executives simultaneously
- Experience coordinating complex calendars and managing competing priorities
- Background in travel coordination and expense management
- Demonstrated experience with event planning and logistics support
- Advanced organizational and prioritization abilities
- Proficiency in Microsoft Office 365, including Outlook, Teams, Excel, and PowerPoint
- Exceptional attention to detail in managing schedules, logistics, and administrative tasks
- Strong written and verbal communication skills
- Ability to work independently and self-direct in a remote environment
- Excellent time management and multitasking capabilities
- Professional demeanor when interacting with senior leadership
- Problem-solving skills and ability to manage ambiguity
- Discretion and ability to handle confidential information
- Proactive approach to anticipating needs and resolving issues
Additional Details
- Location: Remote
- Duration: 6 months
- Pay Range*: $24 - $27 per hour
- Weekly Schedule: 40 hours
- Job Status: Non-Exempt
