Executive Administrative Assistant (Contract)
Please note that this is a contract role providing services to Microsoft through external staffing partners of Allegis Global Solutions. If you are selected for this role, you will be employed by AGS and will not be an employee of Microsoft.
Summary
This position provides critical administrative support to a dynamic team focused on engaging with high-growth startups in the artificial intelligence space. The successful candidate will serve as a key operational partner, managing complex scheduling demands, coordinating cross-functional activities, and ensuring seamless execution of business rhythms. This role requires exceptional organizational abilities and the capacity to thrive in a fast-paced environment where priorities shift rapidly. The individual will act as a central point of coordination, facilitating communication across multiple time zones and stakeholder groups while maintaining confidentiality and professionalism. Strong judgment and the ability to work autonomously are essential, as this position demands proactive problem-solving and the capacity to anticipate needs before they arise.
Job Responsibilities
- Manage complex calendar scheduling, including prioritizing meetings and blocking time for strategic activities
- Coordinate travel arrangements and process expense reports with accuracy and timeliness
- Oversee budget tracking and maintain financial documentation
- Prepare and distribute correspondence, reports, memos, and other business documents
- Organize and maintain records management systems while ensuring confidentiality of sensitive information
- Open, sort, and distribute incoming correspondence including emails and other communications
- Order supplies and perform general office duties to support team operations
- Establish and maintain rhythm of business for team meetings and operational planning sessions
- Facilitate cross-regional communication and collaboration across different territories
- Coordinate scheduling across multiple time zones and stakeholder groups
Requirements
- 2-4 years of administrative support experience required
- Previous experience with Microsoft Office applications including Word, Excel, and PowerPoint
- High school diploma or GED required
- Advanced prioritization and time management capabilities across multiple workstreams
- Exceptional cross-territory communication and collaboration abilities
- Strong proficiency in Outlook and Excel with ability to navigate complex tool environments
- Excellent verbal and written communication skills
- Superior organizational skills with keen attention to detail
- Ability to maintain confidentiality and handle sensitive information appropriately
- Strong customer service orientation and interpersonal skills
- Capacity to work independently with minimal supervision
- Proactive problem-solving and ability to anticipate needs
- Multi-tasking abilities in fast-paced, dynamic environments
Additional Details
- Location: Remote
- Duration: 7 months
- Pay Range*: $28.50 - $32 per hour
- Weekly Schedule: 40 hours
- Job Status: Non-Exempt
