We’re looking for an Executive Assistant to support a real estate investor and operator based in the U.S. who is managing multiple moving parts across investments, a secondary business, and personal operations.
This role goes beyond task execution. You’ll be stepping into an environment where there are existing systems in place, but still plenty of moving pieces that need to be organized, maintained, and improved over time.
The goal is to help bring structure, clarity, and consistency to day-to-day operations so the client can step out of the weeds and focus on higher-level decisions.
You’ll be handling a mix of responsibilities, including:
- Property-related admin (vendor coordination, document handling, task follow-ups)
- Financial admin (invoicing, payment tracking, QuickBooks support, organizing transactions)
- Inbox and communication support (drafting and responding to emails on behalf of the client)
- Personal admin (research, summaries, tracking ongoing tasks and requests)
We’re looking for someone who:
- Takes ownership and follows through without needing constant direction
- Is comfortable working within existing SOPs and can refine or improve them over time
- Can prioritize tasks and make judgment calls when things are unclear
- Notices inefficiencies and takes initiative to improve how things are done
- Is highly organized and detail-oriented, especially with financial and administrative tasks
- Communicates clearly, proactively, and consistently
You’ll be working closely with the client and are expected to become a reliable extension of how they operate day to day, including handling ongoing responsibilities and jumping in on ad hoc requests as needed.
This is a long-term opportunity with room to grow as the client continues to expand their investments and operations.
