ABOUT THE ROLE
We’re a growing construction and real estate company, and we’re looking for a reliable, detail-
oriented assistant to help keep things running smoothly behind the scenes. Your job is simple at
its core: take the day-to-day off the owner’s plate so they can stay focused on growing the
business.
You’ll work fully remote, on a consistent schedule, with clear processes already in place. If
you’re someone who likes staying organized, keeping things moving, and being the person
others can count on — this role is a great fit.

WHAT YOU’LL OWN
– Manage and triage the owner’s Gmail inbox daily — sort, flag, archive, and send follow-
ups
– Monitor and respond to real estate tenant and client inquiries via phone and email
– Upload receipts and vendor invoices to BuilderTrend and verify project managers can
access them
– Join the Monday 8AM pipeline sync and log all updates accurately into Go High Level
CRM
– Attend weekly OAC meetings (Owner / Architect / Contractor) and produce clean,
distributed meeting notes within 24 hours
– Document weekly operations meetings in real time and track all action items through
completion
– Review recorded Zoom calls and extract decisions, action items, and commitments
– Manage the full bid setup process — from project intake to subcontractor outreach and
bond coordination
– Handle lease renewals, tenant communications, and log all activity for real estate holdings
– Download and organize monthly financial documents and manage broker application
submissions
– Maintain the master vendor list, track insurance certificates, onboard new vendors, and
flag overdue invoices
– Act as a thought partner — research options, identify repetitive tasks for automation, and
bring efficiency ideas forward
REQUIREMENTS
– Strong English language skills — written and spoken fluency is required, as you will
communicate directly with clients, vendors, and the owner daily
– Minimum 1 year of experience in a telecommunications role or as an
executive/administrative assistant
– Highly organized with a strong ability to manage multiple workflows simultaneously
– Comfortable working independently in a remote environment with minimal supervision
– Tech-savvy and able to learn new tools quickly — bonus if you’ve used Go High Level,
BuilderTrend, or similar platforms
– Proactive mindset — you flag problems before they become fires and bring solutions, not
just questions
– Interest in AI and automation tools, and excitement to help identify ways to streamline
operations
– Formal education is not required but is always welcome
