Position summary
This remote operations role combines executive assistance, project coordination, and operational support. You will work closely with leadership, turn high-level ideas into structured action plans, and help keep internal projects, documentation, and workflows organized and moving forward.
What you’ll do
- Shadow leadership in meetings, capture context, and turn discussions into organized project briefs.
- Manage complex scheduling, internal communication, and administrative workflows.
- Maintain a central source of truth for internal documentation and processes.
- Build and manage project workflows in Asana with clear owners, deadlines, and context.
- Track initiative progress and identify bottlenecks before they affect deadlines.
- Translate verbal direction into detailed technical or operational tasks for the team.
- Build and maintain advanced trackers in Google Sheets or Excel to monitor project health and KPIs.
- Support rollout of new operational initiatives and internal process improvements.
- Conduct ad hoc research and organize data to support executive decision-making.
What you’ll need
- Experience in executive assistance, operations, or project management with a strong record of execution.
- Advanced Google Sheets skills, including building and managing complex spreadsheets.
- Strong organizational skills and comfort managing workflows, Asana experience preferred.
- Proactive, thoughtful, and able to anticipate needs and next steps.
- NYC-based candidates are a plus for future needs.
- Must be based in the United States.
