As a small but dynamic team, we are looking for an experienced Operations Assistant who thrives in a creative, entrepreneurial environment and can serve as the right hand to the owner of the company.
Role Overview
The Operations Assistant contributes to every aspect of the business—providing client relations and sales support, assisting with marketing initiatives, overseeing print production and scheduling in collaboration with our print vendor, coordinating shipping and exhibitions logistics, and maintaining our databases and inventory. The ideal candidate is highly organized, collaborative, and proactive.
Key Responsibilities
- Serve as executive assistant to the owner by managing and prioritizing daily tasks, tracking deadlines, providing proactive reminders and follow-up to ensure smooth workflow
- Support sales by responding to inquiries, creating polished tear sheets (PDFs of available artworks with pricing), and preparing invoices
- Manage artwork inventory, contact database, and file organization in Dropbox
- Oversee the production and fulfillment of our print business, working closely with our print vendor. Communicate timelines and expectations clearly to clients
- Maintain strong relationships with our network of galleries and print dealers
- Coordinate logistics with partner galleries, couriers, and photographers as needed
- Offer administrative support to Marketing team members and participate in collaborative daily group meetings to discuss projects
- Assist with general administrative tasks and special projects as needed
Qualifications
- Bachelor’s degree required, preferably in Art History, Arts Administration, Business, or a related field, or
- Minimum 3 years of experience either in an art gallery, museum, agency, or organization
- Entrepreneurial talent required
- Experience starting up and/or managing a company required
- Excellent written and verbal communication skills
- Highly organized, with a strong attention to detail and the ability to manage multiple priorities
- Self-starter and works well in a team environment
Compensation
This is a fully remote, part-time hourly position. 30 hours per week. Daily availability is required. Compensation is dependent on experience.
