Remote Administrative Assistant – Pool Construction Company
Growing pool construction company is looking for a dependable remote administrative assistant to help manage day-to-day operations and support the owner. This role focuses on keeping projects organized, communicating with clients, and making sure administrative tasks don’t fall through the cracks.
Hours
- Part-time: 3–4 hours per day
- Potential for more hours as the company grows
- Must be available during normal business hours to return calls and handle follow-ups
Responsibilities
- Return customer calls as needed (inbound calls are initially handled by an answering service)
- Schedule estimates, service calls, and project appointments
- Follow up with clients and keep them updated on project status
- Place and track material orders with suppliers
- Ensure subcontractors and vendors submit required paperwork (insurance certificates, agreements, etc.)
- Track and manage business insurance renewals and other administrative deadlines
- Maintain organized job, vendor, and customer records
- Assist the owner with other administrative tasks as needed
Requirements
- Strong organization and attention to detail
- Professional phone and written communication
- Ability to manage multiple tasks and follow through without constant supervision
- Reliable internet connection
- Comfortable using email, calendars, and basic office software
Equipment
- A company laptop will be provided for work use
Preferred (not required)
- Experience working with construction, contracting, or home service companies
- Experience coordinating with vendors or subcontractors
