POSITION OVERVIEW
The Urban Forestry Administrative Coordinator (“Coordinator”) will be responsible for providing comprehensive support to municipalities and CBO sub-awardees participating in GreenLatinos’ Urban and Community Forestry Program. Supporting GreenLatinos’ Justicia y Equidad Fund Manager, and Justicia Y Equidad Fund Director. The Grants Coordinator will process reimbursement requests drawing down $11.5M in funding to pre-selected municipalities in California and Illinois, as well as an additional $8.5M in reserve funding that has been awarded to 12 community-based organizations (CBOs) in California, Illinois, New Mexico, and Puerto Rico seeking to implement urban and community forestry projects. Over the next 3-years of the grant term, the Coordinator will support financial management and reporting aspects of subawards and specifically will review budget spreadsheets and backup documentation. The Coordinator will also assist the Manager and Director in coordinating with sub-awardees for the reimbursements, MOUs, compliance and reporting, records maintenance, and other duties as assigned. The Coordinator will play an integral role in internal coordination between the Justicia Y Equidad Team and other program teams including the Urban Forestry Team, Colorado State Program, Urban Greening Initiative Team, Financial Management Team, and other GreenLatinos Teams.
The Coordinator must be a well-organized individual with meticulous attention to detail, strong communication skills, and a commitment to advancing environmental justice across diverse constituencies (communities of color, foundations, government agencies, and legacy environmental groups). The role requires a methodical and detail-oriented approach to grants coordination and budget reviews.
The ideal candidate is self-driven, a team player, and comfortable working remotely. The ideal candidate will be able to communicate their working needs clearly (verbally and in writing) and report accordingly to their supervisors and other staff to ensure success. The ideal candidate understands that it is critical to uphold professional practices as a representative of GreenLatinos and its network during all work-related functions including travel, receptions, and events.
The Urban Forestry Administrative Coordinator will report to Justicia y Equidad Fund Manager.
KEY RESPONSIBILITIES
Financial Management Support (30%)
- Lead the review and verification of budget and expense documentation to ensure accuracy and compliance with grant requirements of being necessary and allowable.
- Assist in the development and monitoring of project budgets, ensuring alignment with grant objectives and regulatory standards.
- Collaborate closely with municipalities and CBO sub awardees; Urban Forestry Team, and Financial Management Team to facilitate reimbursement requests in accordance with the grant guidelines, memorandum of understanding (MOUs), and the federal government regulations.
- Assist with maintaining detailed records of financial transactions and funding, disbursements, and tracking expenditures against allocated budgets
- Provide guidance and support to sub awardees in budget planning, forecasting, and expenditure tracking.
- Coordinate with finance and accounting teams to reconcile financial data and address any discrepancies or issues.
- Monitor the utilization and impact of disbursed funds to ensure they're used as intended.
- Other duties as assigned.
Grants Coordination (30%)
- Support project management and quality control regarding reporting, compliance, financial management, etc.
- Assist with the application process for sub awardees, including but not limited to assisting with the creation and/ or implementation of the application, evaluations, community engagement, and budgets, etc.
- Assist with training sub awardees on federal government standards and regulations.
- Ensure that all deadlines are met through coordinating with GreenLatinos Urban Forestry Department and Urban Greening Program including sub awardees, leadership and vendors.
- Assist with the management, allocation and disbursement of sub-grants.
- Support management of GreenLatinos Grantmaking (salesforce) on grant cycles and timelines.
- Other duties as assigned.
Reporting (20%)
- Support sub awardees in preparing and submitting comprehensive financial reports, progress updates, and other documentation as required by grant agreements.
- Ensure all sub awardees submit quarterly reports, trees at work reporting, and a final 5 year report on time.
- Ensure timely and accurate GreenLatinos submission of quarterly reports and a final 5 year report by adhering to established deadlines and formatting requirements.
- Provide feedback and ensure quality control of sub awardees submitted reports.
- Collaborate with program stakeholders to compile data and narratives for programmatic evaluations, success stories, and impact assessments.
Compliance (10%)
- Support federal sub awardee inquiries regarding grant compliance inquiries and concerns.
- Assist in conducting regular audits and assessments to monitor adherence to grant terms and regulatory standards.
- Collaborate and assist in the development and implementation of internal procedures and protocols to streamline compliance processes and mitigate risks.
Capacity Building & Training (10%):
- Collaborate and support creation of materials for training and support to potential and current grant recipients, ensuring they understand guidelines, reporting standards, and expectations.
- Continually suggest improvements to the sub-grants program by seeking feedback and implementing best practices.
REQUIRED QUALIFICATIONS & TRAITS
- Bachelor’s degree
- Minimum of 2-3 years of experience in grants coordination, financial administration, or related roles, preferably within the nonprofit or federal government sector and with experience in processing reimbursement requests and/or managing grant budgets
- Excellent organizational skills and attention to detail, with the ability to manage multiple tasks and deadlines simultaneously
- Strong familiarity with excel spreadsheets (and/or google sheets) for the purpose of budgeting, and tracking expenses
- Strong Spanish speaking and writing capabilities
- Excellent communication, interpersonal, decision-making, and problem-solving skills
- Commitment to equity, diversity, inclusion, and justice and centering frontline communities
- Must be able to provide own personal computer and mobile phone for work
NICE TO HAVE
- Federal government experience as an employee or contractor
- Experience working with municipalities, CBOs, or other government agencies
- Education, certifications or training in grants management, financial administration, or related fields
- Familiarity with urban forestry or urban greening efforts
- Strong understanding of federal grant regulations (Code of Federal Regulations) and compliance standards
- Familiarity with the financial management software/ Salesforce and tools for budgeting, forecasting, and reporting
COMPENSATION
This is a three-year grant-funded position through November 30, 2028. The annual salary range for this role is $65,000- $75,000 and is dependent on experience. GreenLatinos also offers a comprehensive benefits package that includes 100% employer paid dental, health and vision benefits, retirement plan with employer contribution (up to 6% match), all federal holidays off, up to four weeks of paid vacation per year and up to four weeks of sick and family leave, on an as-needed basis.
