Role summary
The Practice Administrator / Clinical Administrative Coordinator ensures smooth daily operations of the practice by managing scheduling, client communications, billing and revenue workflows, credentialing, clinician onboarding, EHR administration, and basic finance/operations tasks. This role supports clinicians and leadership to optimize client care, compliance, and operational efficiency.
Key responsibilities
- Manage scheduling: intake booking, recurring appointments, cancellations/reschedules, waitlists, and clinician calendars.
- Front‐line client communication: phone/email intake triage, appointment reminders, intake packet distribution, and referral coordination.
- Insurance & billing support (required): verify benefits, prepare/submission of claims, post payments, follow up on denials/appeals, and reconcile patient balances with EHR/billing tools.
- EHR & documentation support: maintain client records, upload documents, prepare forms, ensure timely clinician documentation, and maintain templates.
- Credentialing & onboarding: assist with provider credentialing to payors, license verification, background checks, and new‐hire orientation.
- Financial admin: basic bookkeeping, invoicing, tracking revenue/expenses, and coordinating contractor/payroll processes with leadership or accountant.
- Tech & telehealth support: manage telehealth links, troubleshoot basic audio/video issues, maintain user accounts, and coordinate software subscriptions.
- Compliance & quality: support HIPAA/privacy practices, assist with audits, manage record retention, and implement policy updates.
- Reporting & continuous improvement: prepare productivity, scheduling, and revenue reports; identify and implement workflow improvements.
- Vendor relations & supplies: manage vendor accounts, order supplies, and coordinate third‐party services.
