A growing, global executive search firm is seeking to hire a highly organized, project-driven Executive Assistant/Project Manager to support a senior leader on a temporary basis for an initial one-to-three-month period. This individual will bring structure, process, and operational clarity to a fast-moving environment currently lacking centralized systems and project management tools.
This role requires a true strategic operator - someone who functions as a right hand, builds infrastructure, and ensures nothing falls through the cracks. This is a fully remote position that will function during typical business hours with reachability in the evenings as needed. Pay rate commensurate on experience.
Key Responsibilities:
- Build and implement organizational systems, templates, and tracking tools to centralize projects and priorities
- Create structured workflows for business development, searches, corporate initiatives, finance, technology, HR, hiring, and business planning
- Manage complex global calendars across multiple time zones (NY, London, Hong Kong, Japan)
- Develop timelines and ensure projects stay on track across several concurrent initiatives
- Anticipate upcoming meetings and deliverables - proactively preparing materials and identifying next steps
- Implement foundational processes where none currently exist
- Serve as a true project manager - keeping everything organized, prioritized, and moving forward
Qualifications:
- Experience supporting senior executives (MD-level or equivalent), ideally within private equity or similarly fast-paced environments
- Strong global scheduling experience with daily international coordination
- Proven ability to manage high-volume, multi-project environments
- Demonstrated success building systems, templates, and organizational frameworks from scratch
- Exceptionally detail-oriented and proactive - consistently "10 steps ahead"
- Comfortable operating independently and driving initiatives forward
