Our client is seeking a highly responsive, adaptable Executive Assistant to support the Chief Legal Officer and Chief Financial Officer within a fast‑growing, sustainability‑focused investment environment. This role requires excellent judgment, strong communication skills, and the ability to operate as a trusted partner while also serving as a connective tissue for office operations in New York. Hours are generally 9:00/9:30am-6:00pm with flexibility for later starts or ends due to international coverage, and the position follows a hybrid 4/1 schedule with Fridays remote.
Key Responsibilities:
- Provide executive‑level support to the Chief Legal Officer and Chief Financial Officer, including complex calendar management and meeting coordination
- Manage domestic and international travel, prepare detailed itineraries, and handle last‑minute changes
- Process expenses and travel through Concur with accuracy and timeliness
- Monitor email after hours for time‑sensitive matters such as travel disruptions or urgent schedule changes
- Act as the New York office liaison to senior administrative leadership, serving as eyes and ears for office operations
- Flag and communicate office needs, vendor issues, catering logistics, and meeting setups to leadership
- Support light office operations as needed, including greeting vendors, assisting with meeting setups, and coordinating catering
- Collaborate closely with the broader EA team to ensure consistency, coverage, and strong communication
- Help rebuild cohesion and collaboration within the administrative function during a period of organizational change
Qualifications:
- 5-7+ years of Executive Assistant or administrative experience
- Bachelor's degree required
- Background in VC, private equity, tech, or startup environments strongly preferred
- Comfortable operating in a fluid, evolving environment with shifting priorities
- Strong calendar management skills using Outlook
- Experience with Concur and Slack/Teams preferred
- Highly responsive, adaptable, and solutions‑oriented
- Team player with a "roll with the punches" mindset and strong emotional intelligence
- Confident communicator who brings a positive, service‑oriented approach
Compensation/Benefits:
- Up to $140K-$165K base salary + discretionary bonus
