Remote Executive + Legal Administrative Assistant (Clio, Calendaring, Attorney Workflow)

Pay: $15.50 – $19.50 per hour (DOE)
Schedule: Monday–Friday • PST time zone coverage required (core hours: [ex: 8:00am–5:00pm PST])

Overview
We’re a fast-paced law firm seeking a highly organized, proactive Remote Executive + Administrative Assistant to support our Managing Partner (approx. 50% personal/executive support) and assist our Office Administrator and attorneys (approx. 50% firm operations).
If you enjoy creating order, managing calendars, and keeping a busy team on track—this role is for you. You’ll help manage workflow, deadlines, and scheduling, and keep our practice organized inside Clio.
Key Responsibilities Executive + Personal Support (Approx. 50%)
- Manage the Managing Partner’s calendar, scheduling, confirmations, reminders, and priority planning and personal (family) obligations
- Coordinate personal logistics (appointments, travel planning, reservations, vendor coordination, etc.)
- Draft and send emails/messages; track responses and follow up
- Organize inbox priorities and handle confidential information with discretion
Firm Operations + Legal Admin Support (Approx. 50%)
- Maintain firm/attorney calendars and deadlines

- Update matters, tasks, notes, and contacts in Clio to keep workflows accurate, current, and easy to track.

- Help coordinate billing within Clio in collaboration with other team members (time entry tracking, task follow-ups, and ensuring items are ready for review).
- Attend calls/meetings, take detailed notes, and convert them into clear action items
- Track assignments across the team and follow up to completion
- Support document preparation (basic formatting, templates, correspondence drafts)
Required Qualifications
- 2+ years experience as an Remote Administrative Assistant / Executive Assistant / Office Coordinator
- Strong calendaring and scheduling skills (multiple calendars + shifting priorities)
- Excellent written communication, proofreading, and attention to detail
- Comfortable with Clio / Google Workspace / Microsoft Office / Zoom/Teams / Monday.com and learning new systems quickly
- Reliable and responsive during PST business hours
- Quiet home workspace + reliable computer + high-speed internet
