Position Summary:
The Coordinator, Philanthropic Services, plays a critical role in supporting day-to-day operations and service delivery for donor-advised funds and philanthropic accounts. Reporting to the Assistant Director, this role manages a portfolio of administrative activities across the fund lifecycle including contributions, validations, grant recommendations, and disbursements. The coordinator ensures smooth collaboration across internal departments, supports accurate recordkeeping and reporting, and serves as a key partner to Relationship Managers in delivering high-quality service to donors and charity partners.
This position requires exceptional attention to detail, strong organizational skills, and the ability to manage workflows across multiple teams and systems. The coordinator will proactively identify and address operational bottlenecks, uphold data integrity and compliance standards, and contribute to continuous improvement of processes and client service experiences.
Duties and Key Responsibilities
- Coordinate all fund-related transactions, requests and administrative issues, including contributions, validations, grant recommendations and grant processing activities with other internal departments as needed.
- Monitor the status of open tasks, deadlines, and transaction pipelines across teams supporting each fund, proactively addressing bottlenecks and risks.
- Partner closely with Relationship Managers to deliver seamless client service on assigned funds, ensuring smooth handoffs and coordination of donor requests.
- Maintain accurate and up-to-date records in CRM and grants management systems; support ongoing data audits, reporting and documentation for assigned funds.
- Conduct review and quality checks of documentation and data relating to contributions, distributions, and invoices before and after processing to ensure consistency and compliance with internal standards.
- Support donor and charity partner communications by preparing standard activity confirmations, responding to basic inquiries, and escalating complex issues appropriately.
- Identify and recommend enhancements to streamline fund coordination processes and improve operational efficiency.
- Coordinate logistics for client meetings and engagement, including scheduling meetings, preparing documents and decks, and building contact lists.
Education and Experience
- Associate's degree or equivalent combination of education, training, and experience.
- 1 – 2 years of experience in administrative support, data entry, and\or customer service.
- Understanding of data management fundamentals
- Highly organized with strong attention to detail

Salary Range: $54,000 – $57,000
