Job Summary
We are seeking a highly organized and proactive Personal Assistant to provide comprehensive support to our executive team. The ideal candidate will possess exceptional administrative skills, a keen attention to detail, and the ability to manage multiple tasks efficiently. This role requires a strong background in office management and administrative support, along with excellent communication skills and a customer-focused attitude.
This role goes beyond scheduling. It involves decision support, communication management, and execution of business tasks across multiple ventures (real estate, e-commerce).
The right candidate will act as a trusted partner - managing priorities, anticipating needs, and ensuring nothing falls through the cracks. We need someone who is willing to go above and beyond and has a flexible schedule (sometimes unexpected things come up and you may need to work outside of normal hours).
Duties
- Manage calendars, schedule appointments, and coordinate meetings using Microsoft Outlook Calendar and Google Workspace.
- Provide executive administrative support, including typing correspondence, proofreading documents, and transcription of notes.
- Assist with event planning and project coordination to ensure successful execution of company events.
- Handle bookkeeping tasks using QuickBooks, including data entry and filing financial documents.
- Maintain organized office operations by managing clerical duties such as filing, front desk responsibilities, and customer service interactions.
- Operate multi-line phone systems with professionalism and effective phone etiquette.
- Support the team with organizational tasks, ensuring all materials are prepared for meetings and presentations.
- Utilize Microsoft Office applications for document creation, spreadsheets, and presentations as needed.
Requirements
- Proven experience as a Personal Assistant or in an administrative role with a strong emphasis on office management.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
- Familiarity with QuickBooks for bookkeeping purposes is preferred but not mandatory.
- Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Excellent communication skills both written and verbal; experience in customer service is a plus.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Experience with clerical duties such as data entry, filing systems, and front desk operations is essential.
