The Executive Assistant provides high-level administrative and operational support primarily to the President of Retail while also assisting select leadership within the East Region. This role is critical to ensuring smooth daily operations, effective communication, and efficient coordination across multiple retail locations. Requires a highly organized, proactive, discreet individual. We are looking for someone who is comfortable working in a fast-paced, evolving environment. You will serve as a trusted partner to leadership, helping manage priorities, streamline workflows, and support key business initiatives.
Role Description and Expectations Executive Support
- Provide direct administrative support to the President of Retail, including calendar management, meeting coordination, and travel arrangements.
- Serve as a gatekeeper and point of contact for internal and external communications.
- Prepare agendas, presentations, reports, and meeting materials as needed.
- Track follow-ups, action items, and deadlines to ensure timely completion.
Leadership & Regional Support
- Provide administrative and logistical support to designated East Region leaders as needed.
- Assist with scheduling meetings, leadership calls and site visits.
- Coordinate communication between retail locations and leadership.
Operational & Project Support
- Assist with special projects, cross-functional initiatives, and leadership priorities.
- Help organize and maintain documents, files, and operational resources.
- Support planning for leadership meetings and events.
- Compile data or information requested by leadership to support decision making
Communication & Confidentiality
- Handle sensitive and confidential information with professionalism and secretion.
- Draft internal communications on behalf of leadership when appropriate.
- Ensure consistent, timely communication across teams.
Qualifications
- 3-5+ years of experience in an Executive Assistant, Administrative Assistant, or similar role.
- Frequent travel will be required as needed to support the needs of the business, up to 50% travel
- Experience supporting senior-level executives preferred.
- Strong organizational and time-management skills with exceptional attention to detail.
- Ability to prioritize competing demands in a fast-paced environment.
- Excellent written and verbal communication skills.
- High level of professionalism, discretion, and emotional intelligence.
- Proficient in Microsoft Office (Outlook, Excel, PowerPoint, Word); experience with Teams and calendar management tools required.
- Comfortable working with changing priorities and across multiple locations or teams.
- Experience supporting multi-location or regional operations.
- Ability to anticipate needs and act proactively.
- Strong follow-through and ownership mentality.
