We are a rapidly growing real estate investment company seeking a proactive Executive Assistant to manage day-to-day operations, streamline processes, and keep projects on track. Compensation:
$22 - $28 hourly
Responsibilities:
- Administrative Support: Manage calendars, prepare documents, and handle email follow-ups to ensure smooth operations.
- Transaction Coordination: Assist with real estate closings and documentation to keep timelines on track.
- Project Oversight: Monitor renovation and construction progress, ensuring projects move through all phases efficiently.
- Hiring & Onboarding: Support hiring efforts by screening and interviewing property runners and other team members.
- Vendor & Crew Communication: Coordinate with contractors, suppliers, and runners to maintain schedules and resolve issues.
- Systems & Processes: Create and maintain SOPs to standardize workflows and improve efficiency.
- Organizational Tools: Use Google Sheets/Docs, Podio, ClickUp/Asana, and AI resources (ChatGPT) to manage tasks, track projects, and report progress.
- KPI Reporting: Collect and present data in clear, actionable dashboards for leadership.
- Problem-Solving: Anticipate challenges and implement solutions without constant supervision.
Qualifications:
- Tech-Savvy: Proficient in Google Sheets, Google Docs, and management tools (ClickUp/Asana, Podio or similar CRM platforms).
- Adaptable Multi-Tasker: Comfortable switching between diverse responsibilities and deadlines.
- Independent & Resourceful: Able to take initiative, think critically, and deliver solutions.
- Strong Communicator: Confident in interacting with internal teams, vendors, and external partners.
- Highly Organized: Skilled at managing multiple projects and priorities with attention to detail.
- Experience creating SOPs and managing multi-step projects
