We're in hypergrowth mode following a successful funding round, a surge in B2B partnerships, and category leadership recognition. And now, we’re looking for a high-caliber, self-starting Virtual Executive Assistant to help our CEO stay focused, fast, and ahead of the curve.
This is not your average assistant role. You must be US based with excelling communication skills.
You’ll be the right-hand to a fast-paced, visionary founder juggling investor relations, enterprise clients, media, product growth, and scaling a category-defining business. You’ll need to anticipate needs, handle complexity, move quickly, and execute with excellence—while protecting the CEO’s time, energy, and focus.
This is a high-trust, high-autonomy position for someone who thrives in a remote, startup environment and has experience supporting high-performance executives.
- Proactively manage and prioritize a dynamic, fast-moving calendar
- Coordinate investor, media, partner, and internal meetings across time zones
- Build buffer time and anticipate conflicts before they happen
- Draft, edit, and proofread emails, communications, and meeting follow-ups
- Maintain CEO’s inbox and organize communications for priority focus
- Create a system to ensure Sheri only has to review the critical things and all the noise is filtered out
- Prepare agendas, notes - leveraging AI -, follow-up tasks in Jira for the team
- Track the to do items, stay on top of the team to deliver
- Highly proficient in English
- Manage travel with efficiency and foresight
- Track key tasks, deadlines, and deliverables in Jira —follow through where needed
- File, organize, and manage tasks with precision and confidentiality
- Update HubSpot information, keep contacts updated, archive old content in SharePoint and confluence, track and close tickets in Jira
- Help the CEO focus on strategic decisions by owning execution of key follow-ups
- Be a second brain—tracking loose ends, nudging priorities, and making sure nothing falls through the cracks
- At the top of your cover letter or application include the phrase on what we are trying to achieve
- Act as liaison between the CEO and internal/external stakeholders
- A trusted operator with a track record of supporting busy executives (5+ years' experience preferred)
- A self-starter who doesn’t wait for direction—you see what’s needed and act
- Highly organized with superb attention to detail and ruthless prioritization skills
- Emotionally intelligent and confident interfacing with employees, investors, partners, and execs
- Experienced in fast-paced environments—ideally startup, VC-backed, or mission-driven
- Proficient in tools or a quick learner including Microsoft - Outlook, Teams, Excel - , Jira, Confluence, HubSpot
- Know how to use technology to be more efficient - leverage our custom agent, use AI to solve problems, complete tasks quickly while knowing AI is far from perfect and needs to be reviewed for accuracy
