Position Overview
We are seeking an experienced Bookkeeper / Accounting & Billing Specialist to manage the firm’s financial operations. The ideal candidate will be detail-oriented, reliable, and proactive in supporting the partners with timely and accurate financial data. This role is critical to maintaining our firm’s financial health and compliance.
Key Responsibilities
Bookkeeping
- Manage day-to-day bookkeeping activities using QuickBooks Online
- Ensure weekly reconciliation of accounts
- Provide regular financial reports to the partners
Trust Accounting
- Handle daily trust accounting using Clio
- Ensure compliance with trust accounting requirements
Billing & Accounts Receivable
- Process and issue client invoices on the 1st of each month
- Follow up with clients regarding delinquent payments or billing inquiries
- Provide accounts receivable reports to partners
Accounts Payable
- Review and issue approved payments for accounts payable
- Communicate with vendors to clarify invoices and ensure accuracy
Payroll
- Process bi-weekly payroll using Gusto
- Manage overtime, time off, and sick time through Gusto and direct employee communication
Qualifications
- 3+ years of bookkeeping, accounting, or law firm billing experience preferred
- Proficiency in QuickBooks Online, Clio, and Gusto strongly preferred
- Strong attention to detail and excellent organizational skills
- Ability to work independently and communicate effectively in a remote environment
- Familiarity with law firm trust accounting and client billing best practices is a plus
