Bonterra is seeking a highly skilled and proactive Executive Assistant to the CEO. This role is critical in supporting the CEO’s day-to-day operations, providing exceptional logistical and administrative support. If you thrive in a fast-paced, high-growth environment and are ready to take on a dynamic and impactful role, we want to hear from you. Candidates must be willing and able to support US time zones, including occasionally early mornings or late evenings as needed. Flexibility to travel domestically or internationally as required for Board meetings, leadership offsites, and other events.
Key Responsibilities
1. Executive Support

Manage Delegated Tasks: Review and approve on behalf of the CEO day-to-day administrative tasks within the HRIS (Workday) - i.e. approve time off requests.

Expense Reports: Prepare, review, and submit accurate expense reports, if applicable.

Presentation Materials: Develop and maintain presentation decks, ensuring alignment with the CEO’s tone, objectives, and strategic goals.

Ad Hoc Support: Respond to miscellaneous requests, including accessing files and coordinating special projects.
2. Travel & Logistics Management

Comprehensive Travel Planning: Arrange and manage domestic and international travel for the CEO, including transportation, lodging, and detailed itineraries.

Event Logistics: Coordinate logistics for leadership offsites, Board meetings, and other events, including vendor negotiations, meal planning, transportation, and onsite technical needs.

Vendor Management: Secure favorable terms with hotels, transportation providers, and other vendors to ensure seamless experiences.
3. Meeting Coordination

Scheduling: Manage the scheduling of Board meetings, leadership offsites, and key cross-functional meetings

Leadership Meeting Logistics: Oversee planning for leadership team offsites, including hotel and venue arrangements, agendas, attendee communication, and tracking action items.

Preparation & Follow-up: Ensure all meeting attendees are informed of agendas, key discussion points, and necessary pre-meeting preparation. Send timely reminders and follow up with action items, ensuring accountability and resolution of deliverables.

Action Tracking: Track parking lot items, follow-ups, and deliverables for Board and leadership meetings to ensure accountability and timely resolution.
4. Budget & Financial Management

Budget Monitoring: Partner with Finance to draft budgets, track adherence, and provide updates on hiring and resource allocation plans.

Invoice Approvals: Review and approve executive invoices for accuracy and adherence to budget guidelines.

Contract Routing: Manage contracts through procurement channels, ensuring timely processing and compliance with policies.
Required Qualifications:

Proven experience as an Executive Assistant or in a similar high-level support role, preferably working with C-suite executives.

Strong background in managing complex calendars, coordinating travel, and handling confidential information.

Exceptional organizational and time management skills, with the ability to manage multiple priorities and deadlines in a fast-paced environment.

Strong written and verbal communication skills for crafting clear, concise correspondence and professional presentation materials.

Meticulous attention to detail when managing tasks such as scheduling, preparing expense reports, and tracking action items.

Professional and confident demeanor with the ability to build strong relationships and work effectively with stakeholders at all levels.

Exceptional discretion and judgment when handling sensitive information.

Proactive and resourceful in anticipating the CEO’s needs, resolving challenges, and identifying opportunities for efficiency improvements.

Comfortable navigating ambiguity and changing priorities while maintaining a solutions-oriented mindset.

Understanding of event logistics and vendor negotiation best practices.

Advanced proficiency with tools like Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), calendar management software, and collaboration tools (e.g., Slack, Asana).

Familiarity with tools like Concur, DocuSign, or other financial and administrative systems.
Preferred Qualifications:

Familiarity with budgeting processes, expense management, and procurement workflows is a plus.

Experience supporting executives in a global, high-growth environment.

Certification in project management or administrative professional development (e.g., CAP, PMP) is a plus.

Compensation
The range displayed on this job posting reflects the minimum and maximum target for new hire salaries for the position across all US locations. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training.
Base pay is one part of the Total Package that is provided to compensate and recognize employees for their work, and in addition to benefits this role may be eligible for discretionary bonuses/incentives, and equity.
US Base Salary Range: $100,000 - $130,000
