Job Title: Virtual Executive Assistant & Operations Associate

Job Description: I am seeking a highly motivated, organized, and versatile Virtual Executive Assistant & Operations Associate to support me across multiple professional roles and personal responsibilities.

This is a full-time position (35-40 hours/week) that requires adaptability, proactive problem-solving, and excellent communication skills. You’ll work directly with me, managing tasks across three businesses, a tech startup, my career coaching practice, and personal tasks.

1. Chief Operating Officer for three compliance-focused businesses. I lead Sales, Account Management, Marketing, Customer Support, Finance, Operations, and Human Resources. I work closely with our CTO and technology team.

Company 1: Ensures NYC buildings meet energy local law compliance.
Company 2: Provides gas piping compliance services.
Company 3: Specializes in environmental compliance.

2. Founder & CEO of Pursuit: Pursuit is a career-tech startup reimagining the career journey. We integrate recruiting, career coaching, and AI-driven career tools to empower professionals with meaningful career growth and drive lasting fulfilment.

Responsibilities

Professional Support

Manage schedules, meetings, and priorities for 3 real estate companies, ensuring smooth operations and communication.
Support Pursuit with project management, team coordination, app management, and operational tasks.
Assist with career coaching tasks, including client communications, calendar management, and general administrative support.

Personal Support

Manage personal email (Gmail) and calendar, including scheduling, rescheduling, and responding to inquiries.
Handle LinkedIn inbox management, scheduling, and follow-ups.
Coordinate travel arrangements (e.g., flights, transportation), book appointments, and make calls for personal errands.
Assist with any reasonable miscellaneous personal tasks and administrative needs, maintaining confidentiality and efficiency.

General Administrative Tasks

Collaborate with team members across all businesses to ensure projects and tasks remain on track.
Organize workflows, prioritize deadlines, and streamline operations.
Maintain communications and document/file management.
Act as a central point of contact for scheduling and coordination across professional and personal areas.

Qualifications

Someone with a growth mindset who is driven, dedicated, empathetic, collaborative, communicative, and moves fast.
Proven experience as a Virtual Assistant, Executive Assistant, or similar role like Operations Associates, Chief of Staff, or Project Manager.
Exceptional organizational and multitasking skills, with attention to detail.
Excellent written and verbal communication skills in English.
Proficiency with tools like Google Workspace, Slack, and project management platforms (e.g., ClickUp, Asana).
Self-starter with strong problem-solving skills, able to adapt quickly to changing priorities.

Compensation and Growth

Starting at $10/hour with opportunities for raises and bonuses.

Work Hours

35-40 hours and 4 or 5 days per week with flexible scheduling
3 real estate companies have a 5 day work week, Pursuit has a 4 day work week, and I coach and do personal tasks after hours and on the weekends.
Daily communication and updates are required. Project management status updates each work day (4 days per week)
