Modern Innovation Production seeks a highly organized, proactive, and detail-oriented Entry-Level Executive Assistant to provide our leadership team with remote administrative and operational support. Responsibilities
Executive Support:
- Manage calendars, schedule virtual meetings, and coordinate appointments across time zones.
- Assist with email and inbox management, including drafting and responding to communications.
- Organize travel arrangements, accommodations, and prepare expense reports.
Administrative Tasks:
- Prepare meeting agendas, take detailed notes during video calls, and follow up on action items.
- Maintain organized digital records, documents, and files in cloud-based systems (Google Drive, Dropbox, etc.).
- Manage phone calls, messages, and general inquiries professionally and promptly.
- Facilitate document approvals and signature processes using DocuSign.
Operational Support:
- Assist in coordinating video shoots, events, and production schedules.
- Collaborate with vendors, clients, and team members to ensure project logistics are on track.
- Support leadership with task prioritization and project timelines.
General Support:
- Manage digital tools, subscriptions, and software accounts.
- Assist with onboarding remote team members and freelancers.
- Draft, edit, and post job descriptions on appropriate hiring platforms.
- Support virtual team meetings and occasional online client presentations.
- Coordinate account setup with rental vendors, including obtaining Certificates of Insurance (COIs) and completing required documentation.
Requirements:
- Education: Associate’s or Bachelor’s degree preferred (relevant experience considered).
- Experience:0-2 years of administrative or virtual assistant experience. Internship experience is a plus.
- Skills:
- Exceptional organizational and time-management abilities.
- Strong written and verbal communication skills.
- Proficiency with Google Workspace, virtual tools like Zoom, Slack, and project management platforms (e.g., ClickUP, Asana).
- Ability to multitask and prioritize tasks in a remote environment.
- Professional demeanor, discretion, and a proactive attitude.
