More Than an Executive Assistant Role
Working directly with the founder and CEO, as well as the COO, you will:
- Support the visionary leader who has built industry-leading coaching programs and respected research initiatives.

- Collaborate with leadership teams transforming financial services through implementation and research.

Your Key Responsibilities
1. Direct Founder Support
- Provide sophisticated administrative support to the founder, managing the complexities of running multiple companies.
- Transform insights and ideas into clear communications using advanced AI tools.
- Support key initiatives stemming from the founder's vision.
- Utilize and maintain systems that maximize impact across all organizations.
Main Job Tasks and Responsibilities:
- Participate in daily planning huddles held Monday through Thursday.
- Prepare and edit email correspondence, communications, presentations, and other documents.
- Maintain databases and files, and retrieve documents and reference materials.
- Manage executive schedules, appointments, and travel arrangements.
- Organize and coordinate meetings and events.
- Record, transcribe, and distribute meeting minutes as needed.
- Monitor, screen, respond to, and distribute communications.
- Answer and manage incoming calls.
- Liaise with internal staff and interact with external clients.
- Conduct online research as needed.
- Support leadership with administrative tasks, such as campaign tracking, event assistance, research, process documentation, relationship management, speaker coordination, meeting preparation, file management, communications, time management, calendar organization, team liaison work, and gifting initiatives.
2. Technology and Process Leadership
- Utilize AI-driven solutions to enhance productivity and reach.
- Follow workflows that optimize time management across companies.
- Embrace and implement new technologies to serve organizational goals.
- Execute AI-enhanced communication strategies for diverse audiences.
3. Key Relationship Management
- Support and maintain high-stakes relationships with industry leaders, coaches, and research partners.
- Serve as the primary point of contact for the CEO's office.
- Facilitate meaningful connections to drive the founder's vision forward.
- Represent the CEO's office with professionalism and sophistication.
4. Operational Excellence
- Master complex calendaring to balance leadership demands.
- Execute meeting follow-ups using AI-powered writing and documentation.
- Maintain critical databases and information systems.
- Follow and improve processes to scale the founder's impact.

- Outstanding written and verbal communication abilities.
- Strong organizational skills with exceptional multitasking ability.
- Proactive approach to problem-solving.
- High level of discretion and trustworthiness with sensitive information.
