Job Summary
We are seeking a highly organized and proactive real estate Virtual Assistant to provide comprehensive administrative support the owner and to provide support for our tenants and clients. The ideal candidate will manage emails, calls, texts assisting the owner, tenants, and clients. The candidate will be responsible for communicating with clients, tenants, and owners using text, email, and voice calls related to properties, listings, and other tenant service issues. Additional responsibilities include utilizing the afore mentioned communication methods related to rental and sales listings, property availability, and lead management. The candidate must be familiar with Buildium software AND the AirBnB platform. Experience with QuickBooks online is a giant plus. This position requires strong communication skills and a commitment to delivering exceptional customer service.
Duties
- Manage and maintain the tenant & client communications, scheduling, appointments, and recordkeeping in Buildium.
- Manage and maintain the customer communications, stay scheduling, and cleaning resourcesin in AirBnB.
- Provide virtual front desk support by answering calls, responding to inquiries, and maintaining professional phone etiquette.
- Assist with administrative tasks including data entry, document preparation, and proofreading materials for accuracy.
- Utilize DocuSign for electronic signatures and document management.
- Organize files and maintain an efficient electronic filing system to ensure easy access to important documents.
- Coordinate communication between team members and clients, ensuring timely follow-ups and responses.
- Support project management by tracking deadlines and deliverables, keeping all stakeholders informed of progress.
Skills
- Strong familiarity and experience managing workflows in Buildium
- Strong familiarity and experience managing guests in AirBnB
- Strong customer service skills with a focus on client satisfaction.
- Proficient in front desk operations and administrative duties.
- Excellent organizational skills with the ability to prioritize tasks effectively.
- Familiarity with Outlook Calendar for scheduling purposes.
- Exceptional phone etiquette to represent the company professionally.
- Detail-oriented with strong proofreading abilities to ensure high-quality documentation.
- Experience using DocuSign or similar electronic signature platforms is a plus.
- Proficient in data entry with a high level of computer literacy across various software applications.
