Job Summary: We are seeking a diligent and proactive Executive Assistant/Operations Assistant to support our CEO in managing daily operations and client interactions. The ideal candidate will be highly organized, detail-oriented, and capable of providing exceptional service to our clients. Job Responsibilities:
- Manage the CEO’s calendar and email, ensuring timely and effective communication.
- Proactively identify and execute tasks to streamline daily operations.
- Organize and manage workflows, tasks, and contacts within our CRM system.
- Communicate effectively with clients, both verbally and in writing, maintaining a personable and professional demeanor.
- Learn new skills independently and quickly, demonstrating great work ethics.
- Handle phone communications with professionalism, including outreach for community event collaborations.
- Set up virtual calls with prospects and follow up with their questions.
- Upload content on social media platforms following directions from the CEO.
- Conduct initial vetting calls with potential clients using a strategic and scripted approach.
- Reach out to related field professionals for collaboration opportunities.
- Maintain a high level of attention to detail and work efficiently under pressure in a fast-paced environment.
- Provide high-quality service to ensure client satisfaction and meet tight deadlines.
Qualifications:
- At least 2 years of experience as an executive assistant handling diverse tasks.
- An associate degree or higher is required.
- Excellent verbal and written communication skills.
- Strong organizational skills and the ability to keep the CEO and operations organized.
- Independent and fast learner with great work ethics.
- Comfortable and professional in phone communications and prospect vetting.
- Experience in a financial advisor office is highly recommended but not required.
