We’re seeking a detail-oriented and proactive Executive Assistant to support our executive team in managing their day-to-day responsibilities and ensuring smooth operations.
Job Description:
As an Executive Assistant, you will provide high-level administrative support to our executive leadership. The ideal candidate will be organized, able to multitask, and have excellent communication skills. You will be responsible for managing schedules, handling communications, and performing other administrative duties to ensure the executives' workflow is efficient and productive.
Key Responsibilities:
- Manage and organize executives’ calendars, including scheduling appointments, meetings, and travel arrangements.
- Serve as the primary point of contact for executives, handling communications (emails, phone calls) and relaying messages promptly.
- Prepare reports, memos, letters, and other documents, as needed.
- Assist with project management by tracking deadlines, deliverables, and follow-ups.
- Plan and coordinate events, meetings, and conferences, both internal and external.
- Maintain a high level of confidentiality with sensitive information.
- Conduct research and prepare presentations and materials for meetings.
- Support the executives with personal errands or other tasks, as required.
- Handle office administrative duties such as ordering supplies, filing documents, and ensuring the office runs smoothly.
Qualifications:
- Proven experience as an Executive Assistant, Administrative Assistant, or similar role.
- Excellent organizational skills and attention to detail.
- Strong communication skills, both written and verbal.
- Proficiency in MS Office (Word, Excel, PowerPoint, and Outlook) and other office management software.
- Ability to multitask and prioritize tasks in a fast-paced environment.
- Strong problem-solving abilities and the ability to think on your feet.
- High level of professionalism, discretion, and confidentiality.
Preferred Qualifications:
- Bachelor’s degree in Business Administration or related field.
- Experience in supporting C-level executives.
- Familiarity with project management tools.
- Ability to work independently and take initiative.
