Job Description

CLIENT MANAGER/EA DUTIES:
- You will be assigned a set of clients that you are responsible for assisting with every aspect of their care including but not limited to: scheduling, confirmations, logistics, clinical issues, follow up, treatment plans, etc.
- Respond immediately and resolve issues, questions and requests for clients.
- Work quickly and efficiently in coordinating care and accomplishing tasks for your clients each day.
- Explain and implement treatment plans, physician orders and all follow up
- Trouble shoot, problem solve and ensure all parts of client programs are seamless and run smoothly and without error each day
- Creation and maintenance of spreadsheets, forms and checklist for personal use
- Develop strong supportive relationships with clients, referrals and ancillary team by providing exceptional service, follow up and care
- Collect and organize records, maintain electronic charts and all client/surgical/program/medical information and data
- Provide clients and doctors with everything they need before, during and after visits, such as paperwork, results of diagnostic tests, patient's medical history and referrals, prescriptions, referrals, etc.
- Record data in the patient's chart including visit documentation, medical questions, updates, follow up, prescriptions, etc.
- Complete calendar management: schedule appointments for patients and monitor the doctors schedule to ensure appointments are booked properly -- including scheduling, paperwork and confirmations
- Prepare and complete all paperwork, orders, insurance arrangements, etc.
- Manage multiple patient calls, questions, medical programs, follow up, prescriptions, labs, etc
- Visit check in and out for all patients
- Serve as liaison between doctors, staff, outside facility and clients.
- Ensure client has the best experience possible from beginning to end, great follow up from their visits and get everything they need
- Cross training and back up support for other coordinator positions as needed
- Discussion of fees, pricing, programs, etc.
QUALIFICATIONS
- Bachelors' degree preferred, but will consider equivalent experience.
- 3+ years EA or Executive office work
- 2+ years management experience of 3+ direct reports preferred
- Must have experience supporting high end demographic or executives.
- Professionalism and maturity in appearance, speech and demeanor
- Highly organized with a dedication to follow through and an ability to anticipate a clients needs
- Demonstrated exceptional written and verbal communication skills
- Positive attitude with excellent interpersonal skills
- Excellent typing skills with a strong proficiency in MS Office Suite; Mac is a plus
- Must be a team player and also capable of working independently
- Ability to thrive in a fast-paced, detail-oriented environment
- Available to work overtime when necessary
- Must be reliable and punctual
- Strict HIPAA compliance and ability to maintain patient confidentiality
