Vision Real Estate is a local full-service real estate sales and property management brokerage seeking an approachable, detail-oriented, and proactive individual to join our team as a Customer Specialist.
The Customer Specialist will be responsible for assisting with property-related tasks, coordinating owner and tenant communications, and ensuring that administrative and financial processes are accurately completed. This role requires strong organizational skills, problem-solving abilities, and excellent customer service.
The Customer Specialist will report to the Account Team Lead.
Responsibilities
Administrative & Compliance
- Conduct Aptly, PropertyWare, and all software-related audits.
- Complete Aptly board tasks to ensure compliance with Vision Real Estate standards.
- Provide owner report content to ensure accuracy and completeness.
- Create necessary notices for assigned properties.
- Process SDDs and forwarding addresses.
Tenant Relations & Leasing
- Handle inbound tenant calls and provide necessary support.
- Manage tenant communication and ensure timely responses.
- Follow up with applicants to assist with processing.
- Assist tenants in completing applications and resolving any issues.
- Approve/Deny applications according to established criteria.
- Send lease terms, addenda, and facilitate new lease agreements as needed.
- Monitor lease statuses (residential) to ensure accuracy and updates.
- Monitor and follow up on delinquencies.
- Send move-out instructions to tenants.
Maintenance Coordination
- Submit work orders and ensure they are processed efficiently.
- Follow up on work orders to track progress and resolution.
- Add turn cards to the board for internal tracking.
- Follow up on turns to ensure timely property readiness.
Required Skills

- Competence in operating computer software, telephone, calculator, copy machine, Microsoft & Google Suite.
- Experience with MacOS, digital signatures, and cloud-based software (training provided on company’s software).
- Ability to work a flexible schedule; this role does not have fixed hours, as workload depends on seasonal demand and active issues.
- Ability to analyze situations, resolve issues, and work independently or within a team.
Job Type: Full-time
Pay: $174,700.00 - $279,500.00 per year
