About the Role
We are seeking a Bilingual (Spanish-English) Virtual Administrative Assistant to support scheduling, administrative coordination, and day-to-day operational execution for a growing, fast-paced team.
This role is responsible for managing calendars, coordinating appointments, handling administrative workflows, and supporting internal communication across English and Spanish-speaking stakeholders.
You will work closely with internal leadership and team members to ensure tasks are completed accurately, on time, and without the need for follow-up.
This is a high-execution, detail-driven role focused on consistency, organization, and follow-through—not strategy or heavy HR work.

Key Responsibilities
Scheduling & Calendar Management
- Coordinate and manage high-volume appointment scheduling
- Handle calendar updates, reschedules, and confirmations
- Ensure scheduling accuracy and prevent conflicts
- Maintain consistent communication with internal teams and clients
Administrative Support
- Execute recurring administrative tasks with consistency and accuracy
- Support internal workflows across operations and light HR functions
- Track tasks and ensure timely completion without reminders
- Maintain organized records and documentation
Bilingual Communication & Translation
- Translate written communication (Spanish ↔ English)
- Support clear communication across bilingual stakeholders
- Ensure accuracy and professionalism in all translations
Task Management & Execution
- Triage incoming requests and prioritize effectively
- Respond to urgent requests from leadership quickly and accurately
- Anticipate next steps and proactively complete tasks
- Maintain strong follow-through on all assignments
Operational Support
- Assist with internal coordination across departments
- Support process consistency and workflow execution
- Identify inefficiencies and contribute to process improvements
Required Qualifications
- 1–2+ years of experience in administrative support, virtual assistant, or operations roles
- Fluency in Spanish and English (written and verbal)
- Experience with calendar management and appointment scheduling
- Strong organizational and time management skills
- Ability to handle repetitive, detail-heavy tasks with consistency
- Proven ability to manage multiple priorities and deadlines
- High level of ownership, reliability, and follow-through
- Professional written and verbal communication skills
- Comfortable working remotely with minimal supervision
- Availability during U.S. business hours
