JOB PURPOSE
We are seeking a highly organized, detail-oriented Legal Administrative Coordinator to support the organization's legal, compliance, and administrative functions. This role serves as the primary point of contact for legal document management, contract coordination, regulatory compliance tracking, and cross-functional operational support.

RESPONSIBILITIES
- Draft, review, proofread, and format legal documents, contracts, agreements, and correspondence under the direction of legal counsel or senior management
- Maintain and organize the company's contract lifecycle, tracking expiration dates, renewal windows, and key obligations
- Coordinate with outside counsel on litigation, compliance matters, and regulatory filings
- Prepare and file corporate governance documents including board resolutions, meeting minutes, and entity maintenance records
- Monitor regulatory and compliance deadlines and ensure timely submissions
- Maintain corporate records including business licenses, certificates of insurance, and state registrations
- Track and manage permit renewals, regulatory filings, and compliance calendars
- Conduct basic legal research and summarize findings as requested
- Process and track invoices from outside legal vendors and law firms
- Coordinate scheduling for legal meetings, depositions, hearings, and internal reviews
- Serve as liaison between internal departments and external legal counsel
- Support HR and executive leadership with policy documentation, employment agreements, and NDA management
- Assist with onboarding documentation including offer letters, confidentiality agreements, and employee acknowledgment forms
- Support internal audit preparation and document requests
- Handle confidential information with absolute discretion and professionalism
- Support special projects as assigned in an efficient and timely manner
BASIC QUALIFICATIONS
- Associate's degree in Paralegal Studies, Business Administration, Legal Studies, or related field
- 3+ years of experience in a legal, paralegal, or administrative support role
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), SharePoint, DocuSign, and DocSend
- Demonstrated experience drafting or formatting executive-level financial or investor-facing documents with a high degree of accuracy and polish
- Ability to manage multiple priorities and deadlines in a fast-paced environment
- High level of integrity and ability to handle confidential information appropriately
- Strong written and verbal communication skills
PREFERRED QUALIFICATIONS
- Bachelor's degree in Paralegal Studies, Business Administration, Legal Studies, or related field
- Paralegal certificate from an ABA-approved program
- Experience with contract management software or document management systems
- Familiarity with Florida business and corporate law
- Experience supporting C-suite or executive leadership
- Knowledge of HR compliance, employment law basics, or OSHA regulations
- Experience in a corporate, in-house legal, or professional services environment
- Prior exposure to investor relations, board reporting, or capital markets communications in a corporate or professional services environment
WORK ENVIRONMENT AND PHYSICAL REQUIREMENTS
- Primarily office-based; prolonged periods of sitting and working on a computer
- Occasional travel to meetings, court filings, or off-site locations may be required
- Must be able to lift up to 15 lbs (filing, document management)
