Position: Accountant / Administrator – Construction
We are seeking a detail-oriented and highly organized Accountant / Administrator to support our construction projects by managing financial operations, budgets, and reporting, while also assisting with key administrative functions that keep daily operations running smoothly.
This role is critical in ensuring the financial health and success of our projects while supporting ownership and operations through coordination, communication, and organization. The ideal candidate will have experience in construction accounting, strong administrative capabilities, and thrives in a structured, accountability-driven environment.
Key Responsibilities
Accounting & Financial Management
- Manage project accounting, including job cost tracking, reporting, and cost allocation
- Prepare and maintain project budgets, forecasts, and financial analyses
- Review, process, and track invoices, purchase orders, and subcontractor payments
- Monitor project costs and ensure alignment with approved budgets and financial targets
- Support project managers with financial insights, cost control, and decision-making
- Prepare monthly, quarterly, and annual financial reports for projects
- Reconcile project accounts and resolve discrepancies in a timely manner
- Maintain accurate financial records and ensure compliance with company policies and accounting standards
- Assist with accounts payable and receivable, including billing, collections, and payment scheduling
- Help track key financial metrics and contribute to company scorecards
Administrative & Operational Support
- Coordinate schedules, meetings, and calendars for ownership and key personnel
- Assist in organizing and maintaining Level 10 (L10) meeting agendas, notes, and follow-ups
- Help track quarterly priorities (“Rocks”) and ensure accountability across the team
- Prepare and organize proposals, reports, and internal/external communications
- Manage document control, including contracts, permits, insurance documents, and project files
- Support onboarding and coordination of subcontractors and vendors
- Track and maintain compliance documentation (licenses, W-9s, insurance certificates, etc.)
- Serve as a point of contact for internal team members, clients, and vendors
- Identify opportunities to streamline office processes and improve operational efficiency
- Assist with general office management tasks to ensure efficient day-to-day operations
Qualifications
- 3+ years of experience in construction accounting, project accounting, or a similar role
- Strong understanding of job costing, budgeting, and financial reporting
- Experience with accounting software (QuickBooks preferred)
- Advanced proficiency in Microsoft Excel and general office software
- Excellent attention to detail and organizational skills
- Strong communication and interpersonal abilities
- Ability to manage multiple responsibilities and prioritize effectively in a fast-paced environment
Preferred Qualifications
- Bachelor’s degree in Accounting, Finance, Business Administration, or related field (or equivalent experience)
- Experience in residential and/or commercial construction
- Knowledge of construction billing practices, including progress billing, retainage, and subcontractor agreements
- Experience supporting executives or ownership in an administrative capacity
- Familiarity with the Entrepreneurial Operating System (EOS) as outlined in Traction by Gino Wickman
