About the role
This is an essential role responsible for efficiently coordinating readiness for all planned maintenance activities, ensuring timely and cost-effective provision of necessary services. This role is proactive and forward-looking, and executed in close partnership with other departments so the right candidate must be a self-starter and effectively collaborative. This individual will also play a key role in supporting the continuous improvement of our CMMS and will demonstrate flexibility to assist with diverse operational tasks as needed. The ideal candidate is highly organized, detail-oriented, possesses strong communication skills, and thrives in a dynamic environment.
Key Responsibilities:
- Planned Maintenance Coordination (Primary Focus):
- Act as the primary point of contact for all coordination surrounding planned maintenances or ad hoc corrective outages.
- Review, clarify, and understand contract requirements, working closely with internal stakeholders to define scope.
- Ensure planned maintenances are in the CMMS and scheduled so field managers have appropriate resources assigned.
- Work with the purchasing team to ensure purchase orders for any required consumables, tools or subcontractors are issued, confirming accuracy and timeliness.
- Work with ROC to ensure outages are scheduled, as necessary.
- Facilitate pre-job meeting with all internal stakeholders ahead of large outages.
- Work with the CMMS team to track the status of planned maintenances, providing regular updates to field leadership of percentage of on-time completion.
- Assist Field Managers with resolving any issues, escalating complex problems to management when necessary.
- Maintain strong relationships with internal teams within Asset Management and other necessary divisions such as High Voltage and Site Services.
- CMMS Continuous Improvement Support:
- Collaborate with the CMMS administrator and maintenance teams to identify opportunities for system enhancement and optimization.
- Support the development and implementation of CMMS best practices, workflows, and training materials.
- Generate reports from the CMMS to analyze service trends, vendor performance, and cost savings opportunities.
- Flexible Support and Ad-Hoc Tasks:
- Provide support to the procurement and operations teams on ad-hoc tasks as required.
- Contribute to process documentation and improvement initiatives.
- Demonstrate adaptability and a willingness to learn new tasks and responsibilities.
And all other duties as assigned.
Qualifications:
Candidates must meet one of the following criteria to qualify:
- Minimum 5 years of relevant work experience (planning/scheduling). Experience with commonly used concepts, practices, and procedures. Experience coordinating service requests and managing vendor relationships.
- Associate degree in a related discipline
- Bachelor’s degree in a related discipline strongly preferred
Skills:
- Strong organizational and time management skills with the ability to prioritize multiple tasks effectively.
- Excellent written and verbal communication skills, with the ability to interact professionally with all levels of the organization and external vendors.
- Proficient in Microsoft Office Suite (Excel, Word, Outlook).
- Strong problem-solving abilities.
- Ability to work independently and as part of a team.
- Proactive, resourceful, and detail oriented.
- A continuous improvement mindset.
Additional Requirements:
- Able to pass a pre-employment drug screen.
- Complete a satisfactory criminal background check.
- Able to work a flexible schedule and travel as needed for work or training.
- Must have a valid driver's license and currently have and be able to maintain a good driving record.
