We are seeking a reliable, highly organized Virtual Assistant to support the administrative operations of a busy professional practice. This role involves frequent communication with patients, scheduling appointments, handling billing tasks, and maintaining accurate administrative records.
The ideal candidate is extremely articulate on the phone, highly detail-oriented, and comfortable multitasking in a fast-paced environment. Strong English communication skills and proficiency in Google Sheets are essential.
This position operates in a collaborative remote environment, where team members remain connected via Zoom throughout working hours to coordinate workflow and ensure efficient communication.
Key Responsibilities
- Answer incoming phone calls and communicate clearly and professionally with patients
- Provide timely and accurate written responses to patient inquiries and internal requests
- Schedule and manage patient appointments
- Process payments and charge credit cards through the billing system
- Maintain and update records using Google Sheets
- Complete administrative audits and worksheets as required
- Assist with a variety of administrative tasks throughout the day
- Move efficiently between tasks such as scheduling, billing, phone support, and administrative follow-up
- Work collaboratively with the team and assist wherever operational support is needed
- Ensure all communications are handled with professionalism, empathy, and confidentiality.
Required Qualifications
- Associate’s or Bachelor’s degree required
- Minimum of 2 years of experience in a similar administrative or virtual assistant role
- Experience with administrative responsibilities such as scheduling, billing, phone communication, or office coordination
- Excellent spoken and written English (must communicate clearly and confidently in real time)
- Strong professional phone presence and experience interacting with customers or patients
- Proficiency with Google Sheets (data entry, organization, basic formulas)
- Ability to multitask and shift between different responsibilities throughout the day
- Strong attention to detail and high organizational ability
- Reliable internet connection and a quiet workspace suitable for phone communication
