Summary of Position: Verisma is seeking an exceptional Executive Assistant to support senior executives with a fast-paced, highly collaborative operating style. This role requires someone who can act as a strategic partner, not just a scheduler, but rather anticipates needs, manages complex workflows, and represents the executives with confidence and professionalism both remotely and in person. The ideal candidate is polished, calm under pressure, relentlessly organized, and comfortable interfacing with executives, investors, partners, and internal leadership. This role includes travel to key meetings and events to ensure seamless execution on the ground.
Duties & Responsibilities: Executive Partnership & Calendar Leadership
- Serve as a trusted extension of the executives (primarily CEO and SVP of Corporate Development), managing highly dynamic calendars with frequent changes, competing priorities, and confidential matters
- Proactively anticipate scheduling conflicts, preparation needs, and follow-ups—often before they are requested
- Coordinate complex, multi-party meetings across time zones, including senior leadership, board members, investors, bankers, and external partners
- Maintain tight alignment between executives to ensure priorities, messaging, and logistics are synchronized
Meeting & Travel Execution (Remote and In-Person)
- Plan and manage travel, including flights, lodging, ground transportation, and contingency planning
- Plan and manage monthly leadership team meetings with focus on independent execution of booking, including meeting space and dinners
- Travel as needed to key meetings, offsites, and conferences (approximately once a month) to manage logistics, materials, room setup, timing, and real-time adjustments
- Act as on-site point person for executive meetings—ensuring agendas, attendees, materials, and technology are fully prepared and executed flawlessly
- Coordinate pre-reads, presentations, and follow-up actions to ensure meetings translate into outcomes
Communication & Stakeholder Management
- Serve as a primary liaison with internal teams and external stakeholders, exercising strong judgment, discretion, and professionalism
- Build trusted working relationships with other senior assistants and partners to enable smooth cross-functional coordination
Operational & Administrative Excellence
- Manage expenses, invoices, and administrative workflows with precision and timeliness
- Track action items, deadlines, and commitments arising from meetings and ensure accountability
- Handle sensitive information with absolute confidentiality and sound judgment.
- Continuously improve processes to increase executive leverage and reduce friction
- Perform other duties as assigned, to ensure effective operation of the Executive Office, the account and the company

Minimum Qualifications
- Bachelor's degree required
- 7+ years of experience supporting senior executives (C-suite, EVP, SVP, or equivalent)
- Demonstrated ability to operate with minimal direction in a high-stakes, fast-changing environment
- Exceptional organizational skills and attention to detail
- Strong executive presence and comfort interacting with senior leaders, external partners, and boards
- Excellent written and verbal communication skills
- Proven ability to manage complex travel and logistics, including in-person meeting execution
- Willingness and ability to travel to support executives on-site, as needed
- Comfort managing ambiguity and shifting priorities
- Highly discreet, emotionally intelligent, and trusted with sensitive information
- Proactive, assertive, and confident—able to push back appropriately and advocate for executive priorities
- Strong technology skills across calendar, collaboration, and presentation tools
