Responsibilities

Manage and coordinate daily schedules, appointments, and calendar management for remote team members using tools like Google Workspace and Microsoft Office.
Serve as the primary point of contact for internal and external communications via multi-line phone systems and email.
Provide exceptional customer service by addressing inquiries promptly, supporting clients or team members with their needs, and ensuring positive interactions.
Handle clerical duties including data entry, filing, proofreading documents, and maintaining accurate records with attention to detail.
Oversee office management tasks such as supply ordering, equipment troubleshooting, and ensuring all administrative processes run smoothly from a remote setting.
Utilize computer skills to support various administrative functions including bookkeeping with QuickBooks or similar software.
Maintain professionalism with phone etiquette during all interactions while managing multiple responsibilities efficiently through strong organizational skills.

Skills

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
Strong organizational skills with the ability to prioritize tasks effectively in a remote environment.
Excellent communication skills—bilingual abilities are a plus!—and professional phone etiquette.
Experience with office management, clerical tasks, data entry, filing, proofreading, and customer support.
Familiarity with multi-line phone systems and calendar management tools.
Computer literacy including proficiency in QuickBooks or bookkeeping software is preferred.
Demonstrated ability to manage time efficiently while handling multiple responsibilities simultaneously.
