Senior Administrative Assistant
Location: Remote (U.S. – East Coast hours)

A mission-driven organization in the social impact space is seeking an experienced Senior Administrative Assistant to support multiple senior leaders in a fast-paced, collaborative environment.
This role requires someone who excels at complex calendar management, coordinating across internal teams and external partners, and managing frequent schedule changes. The ideal candidate is proactive, highly organized, and confident prioritizing competing requests while ensuring executives stay focused on what matters most.
The organization operates in a dynamic, startup-like culture, so the right person will be comfortable navigating shifting priorities, protecting executive time, and maintaining a polished and professional presence when working with executives, creative teams, and external partners.
This is a remote role operating on East Coast hours, with the option to work from offices in New York City or Arlington, VA if desired.
Key Responsibilities
Executive Calendar Management
- Manage complex calendars across multiple senior leaders
- Prioritize meeting requests and protect executive time
- Coordinate across time zones and resolve scheduling conflicts
- Navigate frequent schedule changes in a fast-moving environment
Meeting & Event Coordination
- Schedule internal and external meetings across teams and leadership
- Coordinate Zoom and Teams meetings and prepare meeting logistics
- Ensure conference rooms, materials, and participants are aligned ahead of meetings
- Assist with occasional team events or conference coordination
Travel & Administrative Support
- Manage executive travel bookings and itineraries
- Prepare and process expense reports
- Provide day-to-day administrative support to multiple executives
Stakeholder Coordination
- Serve as a key point of coordination between executives, internal teams, and external partners
- Maintain professionalism and discretion when working with senior leadership
Ideal Candidate
- 5–10 years of experience as an Executive Assistant or Senior Administrative Assistant
- Exceptional calendar management and prioritization skills
- Experience supporting multiple executives across senior levels
- Strong organizational skills and attention to detail
- Comfortable pushing back, reprioritizing, and triaging meeting requests when necessary
- Professional, polished, and collaborative working style
- Experience in fast-paced or startup environments preferred
