POSITION SUMMARY
The Marketing Production Coordinator is the operational engine of the CHS marketing department, ensuring every campaign, asset, and project moves from request through delivery on time and without error. Across a portfolio of 15 home services brands, this role manages the daily flow of marketing work, serves as the final quality gatekeeper, and keeps all stakeholders aligned through disciplined project management.
This is the right role for someone who is exceptionally organized, detail-obsessed, and energized by keeping complex, multi-brand workflows running smoothly. You will be the person who ensures the right creative reaches the right market at the right time with zero errors in phone numbers, legal disclaimers, or brand assets.
CORE RESPONSIBILITIES
Project Traffic Control
- Manage the day-to-day lifecycle of all marketing requests across 15 brands, from intake through final delivery
- Maintain the project management system (Asana, Monday.com, or equivalent) with up-to-date status on every active project
- Prioritize and sequence work based on campaign deadlines, seasonal urgency, and strategic importance
- Coordinate timelines across internal team members, external vendors (print, mail, agencies), and OpCo stakeholders
- Flag bottlenecks and deadline risks early, escalating to the Marketing Manager when intervention is needed
Quality Assurance & Proofing
- Serve as the final gatekeeper for accuracy on all marketing materials before production or deployment
- Verify all technical details: phone numbers, tracking numbers, legal disclaimers, FDIC compliance language, QR codes, and URLs
- Proof all creative for brand consistency including logos, color palettes, typography, and messaging alignment
- Maintain a QA checklist for each asset type (direct mail, email, digital ads, print collateral) to ensure nothing ships with errors
Collateral & Production Support
- Ensure all field-level marketing assets (sales kits, truck wraps, signage, door hangers) are current and accessible to local branches
- Coordinate production runs with print vendors, managing quotes, proofs, quantities, and delivery timelines
- Maintain the digital asset library, ensuring all brand files (logos, templates, photography) are organized and version-controlled
- Support direct mail campaign execution by coordinating with vendors (Mail Shark, Rossman Media Group) on print specs, list pulls, and drop schedules
Marketing Administration
- Coordinate the departmental invoicing process, ensuring vendor invoices are coded to the correct OpCo and GL account
- Track marketing spend against monthly budgets at the project level, flagging variances to the VP of Marketing
- Prepare and distribute campaign recap documents and post-mortem summaries for completed initiatives
Stakeholder Liaison
- Facilitate communication between the marketing department and individual brand General Managers to secure approvals and feedback
- Manage the intake process for new marketing requests, ensuring all required information is captured before work begins
- Provide regular status updates to stakeholders on active projects without requiring them to chase the marketing team
REQUIRED QUALIFICATIONS
- 2-4 years of experience in marketing coordination, traffic management, project management, or production coordination
- Experience managing multiple concurrent projects across different brands, clients, or business units
- Proficiency with project management tools (Asana, Monday.com, Trello, Wrike, or similar)
- Exceptional attention to detail with a track record of catching errors others miss
- Strong written and verbal communication skills
- Proficiency with Microsoft Office Suite (Excel, PowerPoint, Word) and Google Workspace
- Comfortable working with print production specs, file formats, and vendor coordination
PREFERRED QUALIFICATIONS
- Experience in home services, multi-location businesses, or franchise marketing
- Familiarity with direct mail production workflows (list management, print specs, USPS requirements)
- Experience with digital asset management systems (Brandfolder, Bynder, or similar)
- Basic understanding of design file formats (AI, EPS, PDF, PSD) and their production applications
- Experience with marketing compliance requirements (FDIC disclosures, financing offer regulations)

- Within 30 days: Full audit of active projects, vendor relationships, and asset library; project management system configured and operational

- Within 90 days: Stakeholders across all 15 brands rate marketing responsiveness and accuracy as significantly improved
- Ongoing: Campaigns launch on time, assets are error-free, and the marketing team operates with visible discipline
