Commercial Lease Administrator - Hybrid or Remote*- $90-115k - Philadelphia - Old City

Description
As a Commercial Lease Administrator, you will be responsible for the ongoing maintenance and financial accuracy of our clients commercial office portfolio. This role ensures that all lease-related data is accurately captured, financial obligations are met by both landlord and tenant, and all critical lease dates are monitored to mitigate risk.
Essential Duties and ResponsibilitiesLease Integration: Read and abstract all new leases, amendments, terminations, and renewals into the property management database (e.g., Yardi, MRI, or JDE).
Financial Accuracy: Set up recurring rent schedules, including base rent, percentage rent, and fixed increases.
Operating Expense Reconciliation: Assist in the annual reconciliation of Common Area Maintenance (CAM), Real Estate Taxes, and Insurance (RET/INS).
Tenant Relations: Act as the primary point of contact for tenant billing inquiries and dispute resolution regarding lease clauses.
Critical Date Management: Maintain a master calendar of all lease options, including renewals, terminations, expansions, and rights of first refusal. Generate monthly reports for the executive team.
Compliance: Review and process Estoppel Certificates and Subordination, Non-Disturbance, and Attornment Agreements (SNDAs).
A/R Support: Monitor accounts receivable and coordinate with the accounting team to issue default notices for non-payment.
Audit Support: Participate in year-end audits by providing lease documentation and verification of billing accuracy.
Required QualificationsExperience: 3+ years of experience in commercial real estate lease administration or a related paralegal/accounting role.
Knowledge: Deep understanding of commercial lease structures (Full Service Gross, Modified Gross, and Triple Net).
Detail-Oriented: Proven ability to interpret complex legal language and translate it into actionable financial data.
Communication: Strong professional writing skills for drafting tenant correspondence and internal memos.
Technical SkillsSoftware: Proficiency in Yardi Voyager, MRI, or similar industry-standard ERP.
Tools: Advanced proficiency in Microsoft Excel (formulas, data validation, and formatting).
Accounting: Basic understanding of GAAP (Generally Accepted Accounting Principles) as it relates to real estate.
